Create an AutoPrint Profile
AutoPrint enables work orders to print automatically if they meet certain criteria that you specify. TMS AutoPrint works with TMS Control Panel and TMS Print Services to locate work order records to be printed, based on profiles you create. These profiles contain search criteria for TMS to use to locate work orders that match the criteria you specify. TMS AutoPrint will also update the work order Status and Sub Status for you so that this doesn't have to be done manually (for instance, you might set AutoPrint up to change Pending work orders into Active work orders).
To create a new AutoPrint profile, follow these steps:
-
In the Setup menu, select Work Orders > AutoPrint Setup.
-
From the Segment drop-down menu, select the TMS database segment to which this profile will apply (for example, Facilities Segment).
-
Click the New button in the toolbar.
You are taken to the AutoPrint Setup New screen.
-
In the Name field, type in a name for this profile (for example, Facilities CM Profile).
The name must be unique in the selected segment.
-
In the Description field, type in a short description of this profile.
The description should give your users extra information about the profile. For example, This profile prints Facilities CM Work Orders.
-
Specify values for the Criteria fields.
These fields represent the criteria AutoPrint uses to search for work orders and determines if AutoPrint queues a work order for printing. For a work order to get queued for printing, it must match what you select for all of these fields.
-
In the Type field, select the work order type for AutoPrint to search for (for example, Corrective Maintenance or Preventive Maintenance).
-
In the Status field, select the work order status for AutoPrint to search for (for example, Pending).
-
In the Sub Status field, select the work order sub status for AutoPrint to search for (for example, Pending Request), based on the Status.
-
If you want AutoPrint to look for work orders with a specific Skill tied to them, select a Skill from the drop-down menu.
-
If you want AutoPrint to look for work orders with a specific Shop tied to them, select a Shop from the drop-down menu.
-
-
In the New Status field, select the status you want AutoPrint to set the work orders to, before they're printed (for example, Active).
-
In the New Sub Status field, select the sub status the work orders should be set to, based on the Status selected above.
In order for a work order’s Status and Sub Status to be changed to the New Status and New Sub Status, the work order must match all five items of criteria set in the Criteria group.
If a work order does not match one or more items in that group, the work order’s Status and Sub Status will not be changed, and it will not be printed according to this profile.
-
In the Printing group of fields, specify where and how you want the work orders to be printed:
-
In the Printer Group field, select from the list of valid printer groups which printer group you want AutoPrint to use.
TMS Printing Services provides the choices in this list. You can add more through the Printing Service client or in the Setup module in TMS.
-
In the Printer field, select a printer for AutoPrint to use from the list of printers.
TMS Printing Services provides the choices in this list, based on the printer group you selected above.
-
In the Report field, select a report for AutoPrint to specify for use printing out the work orders in the queue.
-
In the Copies field, enter the number of copies of the queued work orders you want to be printed.
-
-
By default, the Active option is selected. If you don't want the profile to be active for now, clear the Active check box.
-
Click Save to commit this profile to the TMS database.
After you click the Save button, notice that the AutoPrint toolbar changes. There are additional toolbar buttons available to you.
Once you've create an AutoPrint profile, you might want to duplicate it and then adjust the duplicate version slightly to enable automatic printing of other work orders.
