Add Work Order Fields to a Web Request Page

After you create a new Web Request page, you are taken to the Web Request Edit screen, where you are shown additional tabs and fields. To add Work Order fields to the page from the Work Order Settings tab and Field Designer sub-tab, follow these steps. For information on adding Asset fields to the page, see this topic.

  1. Select the Work Order Settings tab.

  2. Select the Field Designer sub-tab.

  3. To add a field:

    1. Expand one of the field groups (for example, the Schedule group) in the Fields pane on the right side of the screen.

      For information on adding user authentication or calculated custom fields to a Web Request page, see this topic.

    2. Click the field you want to add and drag it to the position on the page where you want the field to appear.

  4. To give a field a custom label:

    1. Right-click the field and then select More Properties.

    2. In the Properties Editor window, under Custom Label, enter the field label you want to be displayed on the Web Request page.

    3. Click Apply to save the field's settings and close the Properties Editor.

  5. To move a field, click the field and drag it to its new position.

    You can also right-click the field and then select Move Up or Move Down.

  6. To add a default value to a field:

    1. Right-click the field and then select More Properties.

    2. In the Properties Editor window, under Default Value, choose a value from the drop-down menu (for drop-down fields) or enter a value into the field (for text and numeric entry fields).

    3. If the page has the Requester, Phone, or Email fields on it, and you want the value to be pulled from Active Directory, check the Get From Active Directory option below the Default Value field.

      The Requester, Phone, Email, and Location fields can be auto-populated. You have to configure your Active Directory, SSO or TMS user profile to send this information to the Web Request form.

      This auto-populate feature is enabled for all sites by default.

      Customer Admins should ensure that none of these fields are set to 'read only' on their Web Request forms, in case users need to modify the auto-populated values.

    4. Click Apply to save the field's settings and close the Properties Editor.

  7. To make a field read-only:

    1. Right-click the field and then select More Properties.

    2. In the Properties Editor window, under Default Value, choose a value from the drop-down menu (for drop-down fields) or enter a value into the field (for text and numeric entry fields).

    3. Check the box for Set Field to Read Only.

    4. Click Apply to save the field's settings and close the Properties Editor.

  8. To hide a field from the user's view:

    1. Right-click the field and then select More Properties.

    2. In the Properties Editor window, under Default Value, choose a value from the drop-down menu (for drop-down fields) or enter a value into the field (for text and numeric entry fields).

    3. Check the box for Hide Field From User.

    4. To show the hidden field on the confirmation page when work order is created, select the check box for Display On Confirmation Page as well.

    5. Click Apply to save the field's settings and close the Properties Editor.

  9. To change an optional field into a required field:

    1. Right-click the field.

    2. Select More Properties.

    3. In the Properties window, select the Set Field to Requiredcheck box .

  10. When you're done editing the Work Order fields, click Save.
