Portfolio Details Summary

In Lucernex, a Portfolio is the umbrella entity in the system that all other entities belong to. Your organization can use a portfolio for a brand, geographical area, or for any other system of classification.

To learn how to manage currency exchange rates at the portfolio-level, see the Configure your Currency Exchange Rules by Portfolio walkthrough.

To navigate to the Summary page:

  1. Navigate to Portfolio > Details > Summary .

    Use the links in the Navigation Pane on the leftmost side of the page.

  2. Follow a procedure below.

ClosedEdit Portfolio

To edit the details of a portfolio:

  1. Click Edit.

    This displays in the Actions menu on the right side of the page.

    The page becomes editable.

  2. Make your changes.

    Some of the fields that may be important to you are:

    • Fiscal Year End: Enter the date of the end of the fiscal year for this portfolio in this field.

      You can also click Calendar A small button with a picture of a calendar on it. to open the Date Picker and select the appropriate date.

      This day will change if you have anything other than monthly accounting—for example, if you use 4-5-4 periods.

    • Currency Type: Select the default currency type used for currency fields in this portfolio.

    • Default Holiday Schedule: Select the default holiday calendar used for this portfolio from the field.

      You have the ability to apply a default holiday calendar at the Firm-level and the Portfolio-level. However, the system will honor the default schedule information in this order: Schedule tab on the entity, Portfolio Summary page, Manage Company page. To learn how to create holiday calendars, see the Manage Holiday Calendar page.

    • Default Work Weekends: Do one of the following:

      • Select Yes if weekends should be considered working days.

      • Select No if weekends should not be considered working days.

        This can be changed at the schedule-level by crashing a schedule.

    • Project Managers: Follow a procedure below.

      • To add a project manager:

        1. Select the project manager from the Project Managers field.

        2. Click Add.

          The project manager is added to the portfolio.

      • To remove a project manager, click Delete link.

        The project manager is deleted.

    • Number of RE Contract Approval Levels: Enter the number of approval levels required for real estate contracts in this portfolio. Real estate contract approval levels are also controlled on the Financial Settings page.

    • Number of Equipment Contract Approval Levels: Enter the number of approval levels required for equipment contracts in this portfolio. Equipment contract approval levels are also controlled on the Financial Settings page.

  3. Click Save Changes.

    This displays in the Actions menu on the right side of the page.

    The page refreshes. Your changes are saved.

ClosedAdd Portfolio

To add a portfolio:

You can add a portfolio using the Portfolio Setup Wizard:

  1. Click Add Portfolio.

    This displays in the Actions menu on the right side of the page.

    The Portfolio Setup Wizard window opens.

ClosedEnter basic information

  1. Complete these fields:

    • Name

      Review our recommended Naming Conventions.

    • Address

    • City

    • Postal Code

    • Description

    • Number of RE Contract Approval Levels: Enter the number of approval levels required for real estate contracts in this portfolio. Real estate contract approval levels are also controlled on the Financial Settings page.

    • Number of Equipment Contract Approval Levels: Enter the number of approval levels required for equipment contracts in this portfolio. Equipment contract approval levels are also controlled on the Financial Settings page.

    • State

    • Fiscal Year End: Enter the date of the end of the fiscal year for this portfolio in this field.

      You can also click Calendar A small button with a picture of a calendar on it. to open the Date Picker and select the appropriate date.

      This day will change if you have anything other than monthly accounting. For example, if you use 4-5-4 periods.

    • Currency Type: Select the default currency for this portfolio from this field.

      This selection will impact payments, lease accounting, and foreign currency exchange. See the Foreign Exchange Rates for Fiscal Reporting page for more information about how foreign exchange rates are used in Lucernex.

    • Default Holiday Schedule: Select the default holiday schedule for this portfolio.

      You have the ability to apply a default holiday calendar at the Firm-level and the Portfolio-level. However, the system will honor the default schedule information in this order: Schedule tab on the entity, Portfolio Summary page, Manage Company page. Create holiday calendars using the Manage Holiday Calendar page.

    • Default Work Weekends: Select whether you want to have weekends as working days or as non-working days.

      This can be changed at the schedule-level by crashing a schedule.

    • Project Managers: Follow a procedure below.

      • Add a project manager:

        1. Select the project manager from the Project Managers field.

        2. Click Add.

          The project manager is added to the portfolio.

      • Remove a project manager, click Delete link.

        The project manager is deleted.

  2. Click Next.

    The Org Chart Set-up page of the Portfolio Setup Wizard opens.

ClosedConfigure the organization chart

  1. Choose between three options:

    • Use an existing organization chart:

      1. Select the The program will reference the Operating Organization Chart from option.

      2. Select the portfolio whose org chart you want to use from the field below the option.

    • Duplicate an existing organization chart:

      1. Select the Create Organization Chart by duplicating Organization Chart from option.

      2. Select the portfolio whose org chart you want to duplicate from the field below the option.

    • Skip initialization of an organization chart, select the Skip Initialization option.

  2. Click Next.

    The Folder Set-up page of the Portfolio Setup Wizard opens.

ClosedApply a folder template

  1. Select the folder template you want to use for your portfolio from the Portfolio folder template field.

  2. Click Next.

    The Assign Members page of the Portfolio Setup Wizard opens.

ClosedConfigure membership

Add members and assign them to configure membership of your portfolio.

Assigning a member allows that member to access specific folders, documents, pages, fields, and actions within the portfolio. A member is any Lucernex user with a unique login ID and password. Before a member can have access to any part of a portfolio, you must first set up that member in your firm. This must only be done once for each Member.

Once a Lucernex user is set up as a Member of your Firm, they must be added to each portfolio and assigned user classes. The Member’s User Class determines which folders, documents, pages, fields, and actions within the portfolio that member may access.

Add members

  1. Click Setup Members.

    The Setup Members page opens.

  2. Click Add Member.

  3. Follow the Add a Person in the Add Person window procedures.

  4. Click Add.

    The Add Member window closes. A message appears in the upper-left corner of the Portfolio Setup Wizard that reads: Successfully added Member.

  5. Click Finish Managing Members in the bottom-right corner of the Portfolio Setup Wizard window.

    You are returned to the Assign Members page of the Portfolio Setup Wizard.

Assign members

  1. Click Assign Members.

    A new page opens.

  2. Do one of the following:

    • Add all members in the system, click Add all members in the upper left corner of the Members NOT Assigned table.

      All members currently configured in your system are added to the Current / Proposed member (s) field.

    • Search for a specific member to add to your portfolio:

      1. Enter the name of the member you want to assign in the Search at the upper right corner of the Members NOT Assigned table.

      2. Click Search.

        The members meeting your search criteria appear.

      3. Click A gray arrow button pointing right. next to the member you want to add.

        The member is added to the Current / Proposed member (s) field.

  3. Remove a member from the Current / Proposed member (s) field:

    1. Select the member you want to remove.

      Press and hold CTRL on your keyboard to select multiple values.

    2. Click Remove Selected below the Current / Proposed member (s) field.

      The member is removed from the Current / Proposed member (s) field.

  4. Click Update members to [Portfolio Name].

  5. Click Finish Assigning Members in the bottom-right corner of the Portfolio Setup Wizard.

    The Assign Members page opens. The members you assigned appear in the Managers and Members already assigned using Org Chart table.

  6. Click Finish.

    The Portfolio Setup Wizard closes. The system opens your new portfolio in the Portfolio module.
