Manage Membership Tab - Manage Membership
On the Manage Membership page of the Member Administration section of the System Administrator Dashboard system administrators can manage the members assigned to all entities in the system using these tabs:

Manage Membership: Manage the membership for one Lucernex user over multiple entities. You can limit a user's approval permissions to a certain region or entity type. A user can only approve records on an entity to which that user has access.

Replace / Switch Members: Make bulk membership replacements on entities.

Click Admin in the toolbar in the upper-right corner of the window.
The System Administrator Dashboard page opens.

Click Manage Membership link in the Member Administration column.
The Manage Membership page opens.

Follow a procedure below.
Selecting Members
You have the option of selecting one or more members whose membership you want to modify.
To select members:

Find the member you are looking for in the Change Membership For table.
You can use one of the following methods:

Click Right Arrow
for the member you want to select.

Repeat steps 1-2 as necessary.
If you select multiple members, the Current Membership column will be hidden.

Follow a procedure below.
Completely Remove a Member from All Org Charts
If you only want to remove a member from certain entities, Add / Remove a Member from Selected Entities .
To completely remove a member from all org charts:

Select the Completely remove this Member from ALL entities? option.
-
Select the Completely remove this member from all Org Charts (Operating and Pre-open)? check box.

If you want to deactivate the member after removing them, select the Deactivate this member after removing? check box.

Click Next.
The Completely removing [Member Name] from ALL entities page opens. All entities that this member is assigned to appear in a table.

Review the changes.

If there are changes you do not want, follow the Add / Remove a Member from Selected Entities procedures below to remove the member from specific entities.

Click Process Planned Membership.
The system opens a processing page.

Wait until the entity membership job completes processing.
-
To change the membership of another user, click Another Member.
The system returns you to the Manage Membership page.
Add / Remove a Member from Selected Entities
To review the changes you've made, select the Only show entities that will have a change in membership check box at the top of the page. Lucernex will display all entities with pending changes.
To add or remove a user as a member from selected entities:

Select the Add/remove from selected entities? option.

If you would like to re-apply schedule and work flow template assignments for the entities after this user has been added to an entity, select the Re-apply schedule/workflow template assignments for this member to entities where added? check box.

Click Next.
The Adding/removing [Member Name] in selected entities page opens. A table containing all available entities appears.

Follow a procedure below.
Filter the Adding/removing [Member Name] in selected entities page
To filter the Adding/removing [Member Name] in selected entities page:

Click Set Filters in the upper-left corner of the table.
The Contact Info window opens.

Select the check boxes next to the entities you want to have displayed in the table.

Click Apply Filters.
The page refreshes. The entities which match your filter criteria appear in the table.

To search for a specific entity:
-
Select the column whose data you want to use as search criteria from the Column Filter field.
-
Enter your search criteria in the Search in the header bar of the table.
-
Click Search.
This appears to the right of the Search field.
The results which match your search criteria display in the table.

Add / Remove as a Member or Manager on an Individual Basis
To add or remove the user as a member or manager on a entity-by-entity basis:

Find the entity for which you want to add or remove the member.

Choose between three options:
-
Click Member link in the Planned Membership column to add the user as a member.

Click Manager link in the Planned Membership column to add the user as a manager.
-
Click Remove link in the Planned Membership column to remove the user as a member or manager.

Repeat step 2 for all entities for which you want to change the user's membership.

Click Process Planned Membership at the bottom of the page.
The system opens a processing page.

Wait until the entity membership job completes processing.

To change the membership of another user, click Another Member.
The system returns you to the Manage Membership page.
Add / Remove as a Member or Manager in Bulk
To add or remove a user as a member or manager in bulk:

Click Planned Membership column header.
The Planned Membership menu opens.

Choose one of the following options:
-
Add Member
-
Add Manager
-
Remove
-
Clear All
-
-
Select the option you want:
-
All Grid Rows: Apply the change to all results in the table.
-
Displayed Grid Rows: Only apply the change to the results displayed in the current page of results.
-

Click Process Planned Membership at the bottom of the page.
The system opens a processing page.
-
Wait until the entity membership job completes processing.
-
To change the membership of another user, click Another Member.
The system returns you to the Manage Membership page.
Update Job Titles in Bulk
You can add, remove, or replace a member's job titles on entities.
Add Job Titles
To give a member job titles on entities:

Select the Update job titles on selected entities? option.
The Add Job Title(s) option is selected by default.

Select the job title you want to give the member from the Add job title(s) field.
You can select multiple job titles from this field.

Click Next.
The Changing job titles page opens.

Do one of the following:
-
To modify a single entity, click Yes link in the Change Job Titles? column.

To modify entities in bulk:
-
Choose one of the following options:
-
Add Job Title
-
Clear All
-
-
Select the option you want:
-
All Grid Rows: Apply the change to all results in the table.
-
Displayed Grid Rows: Only apply the change to the results displayed in the current page of results.

Click Process Planned Membership at the bottom of the page.
The system opens a processing page.

Wait until the entity membership job completes processing.

To change the job titles of another user, click Another Member.
The system returns you to the Manage Membership page.
Remove Job Titles
To remove member job titles on entities:

Select the Update job titles on selected entities? option.
-
Select the Remove job title(s) option.
-
Select the job title you want to remove from the Remove job title(s) field.
You can select multiple job titles from this field.

Click Next.
The Changing job titles page opens.

Do one of the following:

To modify a single entity, click Yes link in the Change Job Titles? column.

To modify entities in bulk:

Choose one of the following options:

Remove Job Title

Clear All
-

Select the option you want:
-
All Grid Rows: Apply the change to all results in the table.

To change the job titles of another user, click Another Member.
The system returns you to the Manage Membership page.
Replace Job Titles
To replace member job titles on entities:

Select the Update job titles on selected entities? option.
-
Select the Replace job title(s) option.
-
Select the job title you want to replace from the Job title to be replaced field.

Select the new job title from the New job title field.
-
Click Process Planned Membership at the bottom of the page.
The system opens a processing page.

Click Next.
The Changing job titles page opens.

Do one of the following:

To modify a single entity, click Yes link in the Change Job Titles? column.

To modify entities in bulk:

Choose one of the following options:
