More About Common and User Segments

There are specific rules associated with Common and User segments as to how they are created and what data types can be tied to each type of segment. We already covered the rules for the System segment in the Set Up Segments topic, so this help topic only covers Common and User segments.

When creating common and user segments, keep in mind these rules:

  • The segments are organized as a hierarchy.

  • Each segment hierarchy must begin with the System segment.

  • Every segment can have only one parent (the System segment or a common segment).

  • Common segments have child/nested segments.

  • User segments cannot have child/nested segments.

  • All segment levels can see and use data/codes contained in the System segment.

  • Each segment level can see and use data/codes contained within the same segment level and data/codes contained within the parent segment, as well as data/codes within the System segment.

  • User segments cannot see or use data/codes contained within other User segments.

  • All TMS user groups and individual TMS users are placed in User segments.

When creating and searching for data in your segments, keep in mind these rules:

Segment Type

Contains These Data Types

Common

Asset/equipment records, contract records, codes

User

Special Note About UDF Labels

Customized user defined field (UDF) labels are segment-specific. Those applied to a Common segment are not applied to User segments that are child/nested segments of the Common segment. UDF labels applied to a user segment within a Common segment do not apply to other User segments within the Common segment.

In order for a label to be applied to other segments, the UDF labels must be customized for each segment in which you want the custom label to be made available.
