RE Scenario - Portfolio Module

The RE Scenario page is where you will capture data about each option under consideration for the RE transaction. Each RE transaction is tied to one or more RE scenarios, and each scenario is linked to either a site or a contract. For example, as you near the end of your original term on a contract, you might decide between three scenarios:

  • Renew your existing lease as-is (renewal of existing contract),

  • Expand your square footage (signing of new contract), or

  • Relocate (moving to a new site).

In this example, you would create a RE transaction record which captures the high-level details of the transaction, and three scenarios which are linked to the transaction: one for the renewal, one for the expansion, and one for the disposition.

At this time, you cannot create a new entity based on a RE scenario. Selecting a scenario in the RE Transaction sub-module will not impact the contract or site record—you will need to proceed with your normal business process in Lucernex. See the End User: RE Transaction Sub-Module Walkthrough for more information.

Important!

Once a RE Transaction's status has been set to Complete:

  1. No additional scenarios can be added to the transaction. Completed transactions no longer appear in the list layout in the RE Transaction Wizard.

  2. Only Scenarios with a status of Selected appear in the list layout at the top of the RE Scenario tab.

  3. For historical purposes, you can view non-selected scenarios in the embedded list layout for the transaction on the RE Transaction tab.

To manage your RE transaction scenarios:

  1. Navigate to Portfolio > RE Transaction > RE Scenario.

  2. Follow a procedure below.

ClosedCreate a Transaction from a Site

To create a transaction from a site:

  1. Click Add Item.

    This displays in the Actions menu on the right side of the page.
  2. Complete these fields:

    • Scenario Name

    • Deal Type

    • List of Sites: Select the site you want to create a transaction for.

    • Use Existing RE Transaction?: Select this check box if you want to use this site to create a scenario on a preexisting transaction.

  3. Do one of the following:

    • If you selected the Use Existing RE Transaction check box, select the check box next to the RE transaction you want to use.

    • If you did not select the Use Existing RE Transaction check box, enter a name for the transaction in the Transaction Name field.

  4. Click Create Scenario.

ClosedManage / Edit a Scenario

To manage or edit a scenario:

  1. Select the scenario you want to modify from the list at the top of the page.

  2. Do one of the following:

    • Refer to the Scenario Fields sub-section below for information on how to complete the fields on the RE Scenario page.

    • Follow a procedure below.

  3. Click Save Changes.

    This displays in the Actions menu on the right side of the page.

The following table lists the fields on the RE Scenario page and their usage.

Deal Info Facility No The facility that the transaction is associated with.
Deal Info Contract Name No The Contract ID associated with the scenario. The Contract ID is a unique identifier that belongs to a contract.
Deal Info Transaction No The system-assigned identifier for the transaction record linked to this scenario.
Deal Info Transaction Status No The current phase of the transaction.
Deal Info Related Entity No The ProjectEntityID is the Base Entity System Identifier for associated tasks, folders, documents, forms, and other records. It is assigned automatically by the system, and is not editable.
Deal Info Scenario Name Yes Enter a name for the scenario.
Deal Info Deal Type Yes Select which kind of deal this scenario represents.
Deal Info Scenario Type Yes Select which kind of scenario this scenario represents. Example scenario types include renewal, relocation, and disposition.
Deal Info Decision Status Yes Select the current phase of evaluation or selection for this scenario.
Deal Info Decision Date Yes Enter the date that the decision status is moved to selected or not selected.
Deal Info Property Type Yes Select the type of property from the list.
Deal Info Earliest Notice Date No The notice begin date of the linked term or covenant.
Deal Info Last Notice Date No The notice end date of the linked term or covenant. The system will automatically calculate the value in the Notice End Date field using this formula: Notice End Date = Notice Begin Date - Notice Period. A Lease Notification Alert will be sent out on a nightly basis during the Notice Period until the key date is acted upon.
Deal Info Original Lease Start Date Yes Enter the start date of the original lease in this field.
Deal Info Proposed Commencement Date Yes Enter the proposed date for when the first term of the new lease will start.
Deal Info Additional Terms Yes Enter the number of contract term options in addition to this scenario.
Deal Info New Term Start Date Yes Enter the new term start date in this field.
Deal Info New Term End Date Yes Enter the new term end date in this field.
Deal Info Proposed Term Length Yes Enter the proposed term length for the new lease in months.
Deal Info Term Type No The type of the linked contract term.
Deal Info Term Status No The status of the linked contract term.
Deal Info New Term Length No This field calculates the total years, months, and days in the proposed new term.
Deal Info Covenant Group No The covenant group is the first level of categorization for covenants. Groups are the parents of types, and the grandparents of categories.
Deal Info Covenant Type No The covenant type is the second level of categorization for covenants. Types are the children of groups, and the parents of categories.
Deal Info Covenant Notes No This field gets the notes on the linked covenant record.
Site Info Rentable Area Yes Enter the rentable area in this field.
Site Info Building Area Unit Yes Select the units you are using to measure your area from this field.
Site Info Pro Rata Share Rate Yes Enter the pro rata share for the expense in this field. Pro Rata Share refers to a proportionate share of an expense. For example, many contracts for tenants of indoor malls stipulate that each tenant pay a pre-determined percentage of common area maintenance (CAM) expenses.
Site Info Block Yes If the parcel has a block identifier—this is commonly for parcels in urban areas—enter the block identifier in this field.
Site Info Lot Yes If your parcel has a lot identifier—this is commonly for parcels in urban areas—enter the lot identifier in this field.
Site Info Parking Spaces Yes Enter the number of parking spaces in this field.
Site Info Parking Ratio No The number of parking spaces per 1,000 area units of rentable area.
Site Info Major Tenants Yes Enter the anchors or competitors in the vicinity of the location.
Site Info Trade Area Competitors Yes Enter the names of the direct competitors in the market area.
Area and Demographic Info Market No The market the scenario belongs to. The values that appear in this field depend on the org chart of the portfolio you selected.
Area and Demographic Info Total Population Yes Enter the total population of the market area.
Area and Demographic Info Median HH Income Yes Enter the median household income for the market area in this field.
Area and Demographic Info Risk Class Yes Enter the risk class in this field. Risk classes are insurance tier identifiers which can be alphanumeric and differ across policies, providers, and locations.
Area and Demographic Info Population 5yr Growth Yes Enter the 5-year population growth for the market area.
Area and Demographic Info Average HH Income Yes Enter the average household income for the market area in this field.
Financial Info Currency Yes Select the currency type to be used on the scenario record.
Financial Info Capital Required Yes

On a lease, enter the cost of improvements that are not covered by the tenant improvement allowance.

On a purchase, enter the deposit or equity amount contributed by the buyer, or the cash the buyer brings to closing.

Financial Info Discount Rate Yes Enter the discount rate for this scenario.
Financial Info Annual Rent Yes Enter the annual total rent for this scenario.
Financial Info Average Rent Per Area Unit No Equal to the annual rent divided by rentable area.
Financial Info Re Taxes Per Area Unit No Equal to the real estate taxes divided by rentable area.
Financial Info Operating Costs CAM Yes Enter the operating costs, common area maintenance costs (CAM), or a combination of the two.
Financial Info TI Allowance Yes Enter the amount allowed by the landlord for improvements to the leased premises.
Financial Info TI Per Area Unit Yes Enter the tenant improvement allowance (TIA) divided by the rentable area.
Notes Notes Yes Add any notes about the record.

ClosedDelete a Scenario

To delete a scenario:

  1. Select the scenario you want to delete from the list at the top of the page.

  2. Click Delete Item.

    A dialog opens, asking you to confirm your choice.

  3. Click Yes.

ClosedApply Template

You can apply multiple templates to a transaction or scenario. If a single template is applied more than once to the record, tasks that have a status of In Progress, Complete, or Canceled will not be altered.

Tasks and groups will be displayed in chronological order and are not grouped by template.

Important!

Keep the following important information in mind when applying a template:

  • If two tasks from different templates have the same name, they will be treated as the same task.

  • If you re-apply a template that contains a task you deleted, that task will be re-added to your deal steps.

  • If there is a predecessor-successor relationship between tasks in two separate templates, the template with the predecessor task must be applied first.

To apply a schedule template:

  1. Click Apply Template.

    This displays in the Actions menu on the right side of the page.
  2. Select the schedule template you want to apply from the Schedule Template field.

  3. Do one of the following:

    • If you want to apply the template according to a start date:

      1. Select Start On.

      2. Enter the start date of the schedule in Start On.

        You can also click Calendar A small button with a picture of a calendar on it. to open the Date Picker and select the appropriate date.

    • If you want to apply the template according to an end date:

      1. Select Finish On.

      2. Enter the end date of the schedule in Finish On.

        You can also click Calendar A small button with a picture of a calendar on it. to open the Date Picker and select the appropriate date.

  4. Click Append Schedule Template.

    The window closes. The schedule template is applied.

ClosedDelete Steps

To delete a schedule which has been applied to the transaction or scenario:

  1. Select the scenario you want to modify from the list at the top of the page.

  2. Click Delete Steps.

    This displays in the Actions menu on the right side of the page.

    A dialog opens, asking you to confirm your choice.

  3. Click Yes.
