Manage Regions / Org Chart
Membership in your org chart is only applied at entity Modules have parent / child and sibling / sibling relationships contain records that are often referred to as entities. creation. If you change the org chart after creating an entity, update each entity on the Manage Membership pages.
By default, your Operating org chart is applied to new locations, RE Contracts, and Equipment Contracts. If you do not want your Operating org chart to be applied to these entity types, clear the Apply Org Chart settings on the Manage Company page.
To navigate to the Manage Regions / Org Chart page:

To navigate to the Manage Regions / Org Chart page from the System Administrator Dashboard:

Click Admin in the toolbar in the upper-right corner of the window.
The System Administrator Dashboard page opens.

Click Manage Regions / Org Chart link in the Portfolio / Capital Program Administration section of the System Administrator Dashboard.
The system redirects you to the Org Chart page of the Portfolio module.

Navigate to Portfolio > Org Chart.
Use the links in the Navigation Pane on the leftmost side of the page.

Navigate to Program > Org Chart.
Use the links in the Navigation Pane on the leftmost side of the page.

Org Chart Display Options
The following sections describe display options for your org chart.
Expand / Collapse Org Chart Sections

Choose Which Org Chart to Display
There are two types of org charts to work with in Lucernex: Pre-Open and Operating. Select the org chart you want to view from the Displaying field at the top of the page below the Org Chart tab.
Operating

An Operating org chart is a requirement for facilities, which need to link to a market.
-
Locations use Operating org charts to assign default managers.
-
Other records use the Operating org chart for the region / market area information.
When a user selects a region on an entity, the system automatically adds users in the org chart to the entity.
-
The Operating org chart is also used to differentiate managers versus users in work flows.
-
The entities which use the Operating org chart are: Locations, RE Contracts, and Equipment Contracts.

If a Facility is created using the Facility Setup Wizard, the Facility uses the Operating org chart.
-
If you create a Capital Project from a Facility, the Capital Project uses the Operating org chart.

Pre-Open
-
A Pre-Open org chart is used for sites and projects related to opening a new facility.
-
This org chart should be used to contain any individuals involved internally in the setup of a new facility.
The reason this is distinguished from the Operating org chart is because you will have different individuals managing the facility after the facility is opened.
Examples could include people in your construction or design teams.

A Pre-Open org chart helps you populate individuals on your projects who will always be involved in the project work flow.
For example, construction coordinators and real estate coordinators.

The entities which use the Pre-Open org chart are Sites and Projects.
-
If a Facility is created by converting a Site or Project, the Facility uses the Pre-Open org chart.
-
If a Capital Project is created as part of a Capital Program, the Capital Project uses the Pre-Open org chart.

Choose Between Horizontal and Vertical Display
To change how your organization chart displays:

Select either Pre-Open or Operating from the Displaying field.
-
Select either Horizontally or Vertically from the Management field.
The organization chart updates with the display you selected.
Reorganize Org Chart Items
Click these buttons to reorganize org chart items:

Right: Move an item right.
-
Left: Move an item left.
-
Up: Move an item up.
-
Down: Move an item down.
Moving an item does not change its relationships with other items.
Migrate Org Chart
Migrating an org chart moves the org chart to another portfolio or capital program. After migrating an org chart, a message will appear on the Org Chart page: This [Portfolio or Capital Program] uses the [Portfolio or Capital Program] [entity name] for organizational details. If you decide later that you want to restore the org chart back to the original portfolio or capital program, follow the Restore Org Chart procedures below.
Migrate Org Chart to Another Portfolio or Capital Program
To migrate an org chart:

Click Migrate Org Chart.
This displays in the Actions menu on the right side of the page.The Org Chart Migration page opens.

Select the portfolio or capital program to which you want to migrate your org chart from the field to the right of the Migrate Project Regions to Organization Chart in option.

Select the Auto-add missing Product Regions in the Destination Org Chart check box to add regions, sub-regions, and markets which exist in the current org chart to the destination org chart.
If you do not select this check box, you will receive an error if any regions, sub-regions, or markets from your current org chart do not exist in the other org chart. If you do select this check box, Lucernex will add missing regions, sub-regions, or markets to the destination org chart.

Click Start Processing.
Lucernex begins to process the job. Once the job is complete, a Finished Processing message appears at the top of the page.

Click Reset.
The Org Chart Migration page opens.

Click Restore Panel.
The main Org Chart page opens. A message appears on the Org Chart page: This [Portfolio or Capital Program] uses the [Portfolio or Capital Program] [entity name] for organizational details.
Restore Original Org Chart to Your Portfolio or Capital Program
To restore an org chart to the original portfolio or capital program:

Click Migrate Org Chart.
This displays in the Actions menu on the right side of the page.The Org Chart Migration page opens.

Select the Restore Project Regions to Organizational Chart in this Portfolio option.

Click Start Processing.
Lucernex begins to process the job. Once the job is complete, a Finished Processing message appears at the top of the page.

Click Reset.
The Org Chart Migration page opens.

Click Restore Panel.
The main Org Chart page opens. The org chart is restored.
Manage Parent Regions
A parent region is the highest level of categorization in your portfolio's organization chart. Parent regions are parents to sub regions, and can be either parents or grandparents to markets.
Add Parent Region
To add a parent region:

Click Add Parent Region link in the Portfolio box.
The Add Parent Region window opens.

Enter the name of the parent region in the Parent Region field.

Enter a description of the parent region in the Description field.

To add a person to the parent region:
-
Select the name of the person from the Name field.
-
If this person is a manager, select the Manager? check box.
Being listed as a manager means the user gets alerts and they are listed in the entity's Management sub-page. An example of this sub page appears on the global Project > Details > Summary page.

Click Add.
The person appears in the member list.

Repeat steps a - c until all relevant members are added to the parent region.

Click Add.
The window closes. The parent region appears in your organization chart.
Edit Parent Region
To edit a parent region:

Find the parent region you want to edit.

Click Edit link in the Parent Region box.
The Edit Parent Region window opens.

Make your changes.
-
Click Update.
The window closes.Your changes are saved.
Delete Parent Region
To delete a parent region:

Find the parent region you want to delete.
-
Click Delete link in the Parent Region box.
A dialog opens, asking you to confirm your choice.

Click Yes.
The dialog box closes, and the page refreshes. The parent region is deleted.
Manage Top Level Members
Top-level members are added to all entities in a portfolio, but are not listed in the Managers section of an entity's Summary page.
Add Top Level Members
To add top-level members to an organization chart:

Click Add Top Level Members link in the portfolio box.
The Edit Top Level Members window opens.

Select the member you want to add to the top level of the org chart from the Name field.

If you want this member to be a manager, select the Manager check box.
-
Click Add.
The member is added to the top-level members list.

Repeat steps 2 - 4 for any additional members you want to add.

Click Update.
The window closes. The top-level members appear in your org chart.
Edit Top Level Members
To edit top-level members in an organization chart:

Click Add Top Level Members link in the portfolio box.
The Edit Top Level Members window opens.

Click Edit link next to the member you want to edit.
A pop-up window opens.

Make your changes.
-
Click Update.
The window closes.

Repeat steps 2 - 4 for any additional members you want to edit.

Click Update.
The window closes.Your changes are saved.
Remove Top Level Members
To remove top-level members from an organization chart:

Click Add Top Level Members link in the portfolio box.
The Edit Top Level Members window opens.

Click Delete link next to the member you want to remove.
The member is removed.

Repeat step 2 for any additional members you want to remove.

Click Update.
The window closes.Your changes are saved.
Manage Sub Regions
Sub regions are the second-highest level of categorization in your portfolio's organization chart. Sub regions are children to parent regions, and parents to markets.
Add Sub Region
To add a sub region:

Find the parent region to which you want to add a sub region.

Click Add link in the parent region box.
The Add window opens. Sub Region is selected by default.

Click Next.
The Sub Region page of the Add window opens.

Enter the name of the sub region in the Sub Region field.
-
Enter a description of the sub region in the Description field.

To add a person to the sub region:
-
Select the name of the person from the Name field.
-
If this person is a manager, select the Manager? check box.
Being listed as a manager means the user gets alerts and they are listed in the entity's Management sub-page. An example of this sub page appears on the global Project > Details > Summary page.

Click Add.
The person appears in the member list.

Repeat steps a - c until all relevant members are added to the sub region.

Edit Sub Region
To edit a sub region:

Find the sub region you want to edit.

Delete Sub Region
To delete a sub region:

Find the sub region you want to delete.

Click Delete link in the Sub Region box.
A dialog opens, asking you to confirm your choice.

Click Yes.
The dialog box closes, and the page refreshes. The sub region is deleted.
Manage Markets
Markets are the lowest level of categorization in your portfolio's organization chart. Markets can be children to sub regions or parent regions.
The Org Chart Market value is used to populate the Market Area field. This field should not be used to define your demographics Market Areas, as your company's definition of these two items may not mean the same thing.
Add Market
To add a market:

Do one of the following:

To add a market from the parent region-level:

Find the parent region to which you want to add a market.

Click Add link in the parent region box.
The Add window opens. Sub Region is selected by default.

Select Market from the Add What?field.

Click Next.
The Add Market window opens.

To add a market from the sub region-level, click Add link in the sub region box.
The Add Market window opens.

Select the market from the Market field.
-
To add a person to the market:
-
Select the name of the person from the Name field.

If this person is a manager, select the Manager? check box.
