Workflows

Workflows help your organization assign and manage Lucernex processes. Administrators can create workflows with form steps and schedule task steps and many options:

  • Multiple simultaneous steps.

  • Non linear steps. For example, if the answer to a step is No, the workflow can return you to a previous step.

  • Steps with approvers.

  • Steps that kick off other workflows.

  • Steps that start scheduled jobs in the Reporting module.

  • Require approvers to enter a PIN when taking action on a workflow step. The PIN attaches a signature image to the approved form.

On the Manage Work Flows page Administrators can:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Work Flows in the Company Administration pane.

    The Manage Work Flows page opens.

Example Work Flow describes an example of a workflow design that you can create and implement in Lucernex.

When you design and create a workflow in Lucernex we recommend:

  • Start slow. Work flows are time-consuming, don't take on too many at once. Plan to layer in additional workflows after go-live

  • Build a process first, then create form layouts. Use placeholders to assign steps during the design phase.

  • Use schedule tasks intermittently. This synchronizes the schedule, workflow, and allows easier reporting.

  • Ensure that tasks run properly and do not go invalid. Ensure schedule tasks that are part of a workflow exist on the entity's Schedule page. Ensure tasks have assignees.
