Global Fields Tab - Manage Data Fields

The Global Fields page's primary function is to allow you to modify and manage the field labels of global fields in Lucernex. If you are a System Administrator, you can import field definitions.

We recommend you speak with your Professional Services or Support contact prior to creating a new field to ensure you are not duplicating functionality that already exists in Lucernex.

Click A small, white, square button with a plus symbol in its center. and A small white square button with a minus symbol in its center. buttons to expand and collapse the groups on the Global Fields page.

To navigate to the Global Fields page:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Data Fields link in the Company Administration column.

    The Firm Fields page opens.

  3. Select the Global Fields tab.

    The Global Fields page opens.

  4. Follow a procedure below.

Important!

We recommend you avoid changing field labels if possible, because doing so makes finding modified fields more difficult to find. This increases the difficulty for system administrators who need to make changes to fields in the future.

To edit field details:

  1. Do one of the following:

    • To use the Expand All / Collapse All function to find your field:

      1. Click Expand All link in the header of the Global Fields table.

        All groups and sub-groups expand in the Global Fields table.

      2. Press and hold the CTRL and F keys on your keyboard.

        Your browser's Find function opens.

      3. Enter the name of the field whose label you want to edit.

      4. Press the Enter key on your keyboard.

        Your browser navigates to the field on the page.

    • Click Expand buttons A small, white, square button with a plus symbol in its center. next to the appropriate folders to navigate to the appropriate field.

  2. Click Edit Details link for the field.

    The Manage Report Group Available Fields pop-up window opens.

  3. Enter your preferred field label in the Field Label field.

  4. If you want to enter a custom definition for the field, enter the definition in Definition.

    The global definition and the Functional Field? flag appear in the window. Learn more about the Data Dictionary.

  5. Click Update.

    The window closes.Your changes are saved.

ClosedExport Data Fields

You can export your custom data fields to modify them or import them into another environment. However, you cannot import data fields from this page. See the Import Data Fields procedures on the Firm Fields page to learn how to import your updated data fields.

Important!

Please consult with your Professional Services representative prior to making changes to your field labels or custom data fields.

To export data fields from the Global Fields page:

  1. Scroll to the bottom of the page.

  2. Click Export Data Fields button in the lower-left corner of the page.

    The system generates an Excel file.

  3. Save the file to your computer.

ClosedAdd Group

You can add field groups to the Manage Data Fields tool that can be used to organize custom fields. You can only edit or delete a custom group from the Firm Fields page.

To add a group to the Manage Data Fields tool:

  1. Scroll to the bottom of the page.

  2. Click Add Group button in the lower-right corner of the page.

    The Manage Report Group Available Fields pop-up window opens.

  3. Enter the group name in the Group Name field.

  4. If this group should belong to another group, select the parent group from the ParentReportGroup field.

  5. Enter a description of the group in the Description field.

    We recommend that you add descriptions to every template, layout, or field you create in Lucernex, so that subsequent administrators will understand the purpose and context of the items you create.

  6. Select either the Yes or No option for the following settings:

    • Valid for Portfolio / Capital Program?: Make fields in this group valid for portfolios and capital programs.

    • Valid for Entity?: Make fields in this group valid for entities.

    • Valid for Issue?: Make fields in this group valid for forms.

  7. Click Add.

    The window closes. The group appears on the Global Fields page.
