Import field definitions

If you are a System Administrator, you can import definitions for global and custom fields from the Manage Data Fields page by importing spreadsheets. You can provide contextual information to instruct users in your firm on how to use a field.

On global fields, only the custom definition is updated. The Is Functional flag and the system definition are not updated.

Import spreadsheets contain two rows at the top of the spreadsheet:

  • Row 4: Is Functional

  • Row 5: Definition

This shows the type of data that you need to enter in the spreadsheet column.

To import a field definition:

  1. Export the Global or Firm fields you want to update.

  2. Complete the Global or Firm fields spreadsheet depending on the fields you are updating.

  3. Import your spreadsheet.

Export fields

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Data Fields link in the Company Administration column.

    The Firm Fields page opens.

  3. Do one of the following:

    • If you want to export the spreadsheet for firm fields:

      • Click Export Data Fields at the bottom of the page.

        A spreadsheet downloads to your computer.

    • If you want to export the spreadsheet for global fields:

      1. Click Global Fields tab.

        The Global Fields page opens.

      2. Click Export Data Fields at the bottom of the page.

        A spreadsheet downloads to your computer.

Complete the Global Fields Spreadsheet

To complete and import the Global Fields spreadsheet:

  1. Open the spreadsheet in a spreadsheet editor.

  2. Find the field whose definition you want to customize.

  3. Enter your custom definition in column G, the Definition column.

    If you want to use part of the system definition in the custom definition, copy and paste the system definition from column F, the System Definition column.

    If you upload an XML file to update the data dictionary and the definition for a field is left blank, the system displays the message No Definition Provided.

  4. Save your changes.

Complete the Firm Fields Spreadsheet

To complete and import the Firm Fields spreadsheet:

  1. Open the spreadsheet in a spreadsheet editor.

  2. Find the field whose definition you want to customize.

  3. Do one of the following:

    • Enter Yes in column R, the Is Functional column, if the firm field should be marked as functional.

      For example, you might choose to mark the field as functional if the field will be used in an integration, or in a math field.

    • Enter No in column R, the Is Functional column, if the firm field should be marked as informational.

  4. Enter your custom definition in column S, the Definition column.

    If you upload an XML file to update the data dictionary and the definition for a field is left blank, the system displays the message No Definition Provided.

  5. Save your changes.

Import your spreadsheet

To import your completed spreadsheet:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Data Fields link in the Company Administration column.

    The Firm Fields page opens.

  3. If you want to import definitions for global fields, click Global Fields tab.

  4. Click Import Data Fields at the bottom of the page.

  5. Click Browse.

  6. Select the import spreadsheet file.

  7. Click Upload.

    The import processes. Once the import completes, a summary of the changes is listed at the top of the window.
