Set Up Approval Signatures on Work Flows

System Administrators have the option of requiring one or all approver signatures on a work flow step. This feature creates a virtual paper trail to document approvals. Approvers can upload a signature image to their profile and set a PIN. This PIN is used to validate an approver’s identity when they sign off on the work flow step, and can only be set by the user.

Keep the following information in mind about E-Signatures:

  • Users SHOULD NOT share their PIN.

  • Signature PINs can be alphanumeric.

  • Signature PINs must be more than one character long.

  • System Administrators cannot change a user's Signature PIN.

  • Signature images must be in .jpg, .gif, or .bmp format.

Setting up the approval signature requirement on a work flow step is easy! All you need to do is select the Require Approver Signature check box on the action you want to require approval for. You can only require approval signatures on form-based work flow steps.

By default, only one signature is required. If you want all approvers to take the same action before progressing to the next step in the work flow, you will also need to select the Require All Approvers check box in the same window.
