EMS Microsoft 365 Web Add-In

The EMS M365 web add-in is separate from the EMS for Outlook COM add-in. It runs on Windows, macOS, and Outlook on the web and does not require installation on user devices. EMS enables the add-in at the user account level and displays it in a task pane on the right side of Outlook.

Use Cases and features

EMS for Outlook – Microsoft 365 supports the these features:

  • Create single-date and recurring reservations.

  • Book simple, self-service spaces.

  • Use groups and contacts.

  • View room details and capacity.

  • Select setup types.

  • Apply intents (process template groupings).

Reservation and service order management

Create, edit, and manage reservations and service orders directly from the Outlook add-in.

Reservations

  • When you select Send in Outlook, EMS immediately processes the reservation and sends a confirmation email if it succeeds. If processing fails, EMS sends an email with the issue and next steps.

  • Change rooms, dates, times, event names, and recurrence patterns.

  • Edit individual occurrences in a recurring reservation series.

  • Use drag-and-drop to update reservations on the Outlook calendar.

Service order

  • Edit service orders before saving the reservation. If the add-in is closed and reopened in the same Outlook session, EMS keeps your changes until the reservation is saved or cancelled.

  • Edit service order dates and times.

  • Change service types.

  • Update notes, resources, attendees, and special instructions.

EMS enforces all business rules, including service cutoff times and weekend restrictions, during creation and editing.

Billing reference and PO number fields

You can view and edit Billing Reference and PO Number fields on the Reservation Details screen in the Outlook add-in.

  • EMS defaults these fields from the associated group record.

  • Values remain synchronized until you manually update them.

  • EMS displays the selected values on the confirmation details page.

Administrators control field visibility, validation rules, and lookup behavior through process template parameters.

Integration

The Outlook M365 web add-in supports two-way synchronization for User Defined Fields (UDFs) and service order data. EMS updates database tables during reservation creation and editing to maintain consistency across EMS applications.

Update reservations in other EMS applications and check in to meetings on Room Signs.

The EMS for Outlook Microsoft M365 add-in provides a sidebar for finding and bookinfs available rooms. Use Outlook to reserve a room, add services, and manage resources in the cart.
