Assets

An asset includes any item requiring maintenance that you want to track, including equipment, facilities, and vehicles. In the Assets tab, add and monitor multiple assets associated with the Preventive Maintenance (PM) or Inspection (IN) schedule.

Assets are identified by unique asset numbers, which might come from the serial number or an asset tracking system.

Navigate to the Assets tab while in Create or Update mode.

Your organization's administrator sets up a default form within the Classic TMS modules, which varies its display of tabs, field groupings, and fields, depending on whether it's in Create, Update, or Query mode.

The tabs and fields you see within this content may differ from those configured by your organization's administrator. Use this information as a guideline.

The default page view is List view, which displays all information in a spreadsheet-like format. Card view is where you can view the same items as blocks. You have the option to switch between views on desktop platforms. Click either the list or card icon located at the upper right of the list. Mobile phone and tablet devices only display Card view.

The Assets list view includes the following columns:

  • Number: Unique identifier assigned to an asset.

  • Description: Brief summary to provide more details.

  • Manufacturer vendor name: Identifies the maker or brand.

  • Model number: Identifies a specific model of an asset by the manufacturer.

  • Serial number: Unique code assigned by the manufacturer. Typically used for warranty, history tracking, and distinguishing similar units.

In List view, resize and reorder the columns, and sort them in either ascending or descending order.

Add an asset

Add an asset to your PM or IN by number or group.

  1. On the Schedule > Assets tab > Assets section, do one of the following:

    • Add by number: Enter an asset number and click the search icon.

    • Add by group: Select an asset group from the list of available groups. Asset groups consist of multiple assets that are managed collectively as a single group.

  2. If the system locates your selected assets, they appear in the list.

  3. Click Update or Create to save the schedule.

Remove an asset

Remove individual assets or an asset group. You cannot remove individual assets that are included within an asset group.

  1. On the Assets tab > Assets section, do one of the following:

    • In list view, select Remove from the Actions menu on the left of a row.

    • In card view, select Remove from the Actions menu in the upper right of the card.

  2. In the confirmation message, click Remove.

  3. The system removes the asset from the schedule.

  4. Click Update to save the work order.

Schedule status

When creating or updating a schedule, the Main tab form dynamically displays groupings of fields based on the selected schedule status. This ensures that the correct fields appear on the form for the selected schedule status.

  • Active: If the PM due date or next due meter reading falls within the range established in the automatic PM generation setup, TMS automatically generates your PM work orders. The Asset group is enabled. Enter either an Asset number or Asset group.

  • Retired: The schedule is no longer active and will not generate any new work orders. The Asset field grouping is enabled. Enter either an Asset number or Asset group.

  • Default: Used for creating PM schedules for a category of assets. For example, if you create a Default type PM schedule for all of the air handler devices, every time your organization purchases a new air handler, TMS creates a new active PM schedule for the category of assets that is Air Handler. The Asset group is disabled and New asset group is enabled. Select a Category first, then select a Sub category.

  • Unscheduled (On-Demand): These do not generate by Automatic PM Generation. These PE schedules should be created for planned events that occur on an as-needed basis. The Asset group is enabled. Enter either an Asset number or Asset group.
