Add Procedure Readings

If there are one or more sub procedures associated with the work order on which you are working, you will need to enter procedure readings before you can close the work order. Procedure readings come in one of these forms: a yes or no reading, notes entry, a data value, or a ranged value. (See the Sub Procedures Setup help topic for more information on sub procedure types.)

To enter a procedure reading on the work order:

  1. If you are not already in Work Order Edit, go to Work Orders > Edit and enter a valid Work Order Number, or go to Work Orders > Query and search for the work order to open in Edit mode.

  2. Select the Procedures tab, or other tab that contains the Procedures grid, if you're using a custom form.

    The Sub Procedure Readings label shows how many sub procedures are grouped under each procedure on the work order.

  3. Expand the sub procedure group to view the sub procedures.

    Review whether the sub procedure is required (Truemeans that the sub procedure is required or False means that it is not required), and reading values that might have already been entered.

    Some Choice List or Yes/No reading sub procedures may have default values specified for readings. If a reading has already been entered for a sub procedure, you can edit the reading by clicking the Edit button next to the sub procedure, or you can clear the reading altogether by clicking the Clear Reading button next to the sub procedure.

  4. Click the Sub Procedure Readings Wizard button at the top of the Procedures grid.

    The wizard opens. At the top of the screen, you are shown a count of procedure readings needed on the work order.

    The Procedure field shows the description/name of the procedure for which you're entering readings, and the Sub Procedure field shows the description/name of the sub procedure. The Sub Procedure Instructions field displays the instructions and/or steps to complete the sub procedure.

  5. Follow the instructions and complete the procedure.

  6. Enter the reading that is needed for the sub procedure, based on the displayed instructions and text.

    If the sub procedure you're completing is of the Choice List type, see the section below for more information on filling in Choice List sub procedures.

  7. If there are additional sub procedures tied to the work order, click Next to move to the next sub procedure. Otherwise, skip to step 10.

    If the sub procedure on which you entered a reading is of the Ranged Data Reading type, and the value you entered falls outside of the required range, you are notified of this by TMS.

  8. If you are asked to confirm whether or not to save your data reading (for Ranged Data Reading and Choice List sub procedures), select Yes to save the reading or No to clear the reading.

  9. Repeat these steps until all sub procedures have been completed and all procedure readings have been entered.

    If you did not enter a reading in a sub procedure that is marked as Required (shown as "True" in the Sub Procedure Readings grid), you won't be able to complete or close the work order until the reading for the required sub procedure is entered. If you try to complete/close a work order with incomplete required sub procedures, you will receive a warning message (see this section for more information).

  10. When you are done, click OK to save the data values and close the wizard.

Sub Procedure Readings Worksheet

If you would like to view and edit all sub procedures associated with your project together, instead of grouped by procedure like they are on the Procedures tab, click the Sub Procedure Readings Worksheet icon in the banner at the top of the pane.

You will be redirected to the Sub Procedure Readings Worksheet where all sub procedures associated with the work order are listed and can be completed.

  1. Enter any necessary information about readings and add any comments.

  2. Click Ok at the bottom of the pane.

    You will be redirected to the Procedures tab. The information you entered will be listed in the Reading column of the relevant sub procedure.

About Choice List Sub Procedures

Option Buttons

If the sub procedure has a list of option buttons from which you can select values, you can select only one choice from the list.

Once you select a value for the reading, you cannot clear your choice from the Sub Procedure Readings wizard.

If you need to clear a option button value, in the Sub Procedure Readings grid, select the Clear Reading button next to the sub procedure and then click the Edit button next to the sub procedure to select the correct value.

Drop-down menus

If the sub procedure has a drop-down menu from which you can select values, you can select only one choice from the list.

If you selected a value from the list, but then need to clear the reading value, a blank row is included in the drop-down menu of values. Select the blank row to clear the previous reading value.

You can also select the Clear Reading button next to the sub procedure in the Sub Procedure Readings grid to clear the reading value.

Check box lists

If the sub procedure has a list of check boxes from which you can select values, you can select multiple choices from the list.

If you selected values from the list, but then need to clear the reading values, clear the selected boxes.

You can also select the Clear Reading button next to the sub procedure in the Sub Procedure Readings grid to clear the reading value.

Warnings on Incomplete Required Sub Procedure Readings

If you try to complete or close a work order with incomplete required sub procedures, you will receive a warning message. Warning messages are displayed using the following scenarios:

  • For work orders with no assets, a warning is displayed for incomplete required sub procedures with no asset tie.

  • For work orders with one or more assets, a warning is displayed for incomplete required sub procedures with an asset tie. Incomplete required sub procedures with no asset ties don't bar the work order from being completed or closed.

  • For work orders with multiple assets, if the same required sub procedure is incomplete for multiple assets, the warning message is shown once, with a list of all of the affected assets.

Warnings on Failed Pass/Fail Sub Procedure Readings

When you enter a reading of Fail on a Pass/Fail sub procedure, you will see several warnings:

  • On the Procedures tab, the failing sub procedure will list Fail in the Reading column.

  • At the top of the Sub Procedure Readings Worksheet, you will see the word Warning(s), if one or more of your sub procedures will fail, the word will appear in red, followed by the number of failed readings.

  • To the right of the Pass/Fail reading(s) that fail, you will see a warning icon.

  • At the bottom of the Sub Procedure Readings Worksheet, you will see a red Failing Inspection banner.

  • When you click Ok to close out of the Sub Procedure Readings Worksheet, a Warning pop-up window will appear.

Warnings will not appear in the Sub Procedures Wizard. They will only appear in the Sub Procedure Readings Worksheet and on the Procedure Readings pane.
