Tie a Resource to a TMS User ID

A TMS user can be directly tied to a TMS resource in Users and Groups Setup. Tying a user to a resource enables you to automate several TMS functions.  

  • When the user opens Work Order New, the Requester field can be filled with the resource tied to the user and their related information (if the WO Requester Source drop-down menu in Work Order Options is set to "Resources").

  • When the user saves a new work order, the resource ID tied to the user can be automatically added as an assignment.

  • When the user adds a new time charge to a work order, the Resource field on the Time Charge screen can be automatically filled with the resource ID tied to the user.

  • When the user accesses the Resource Time Charges screen, the Resource field can be automatically filled with the resource ID tied to the user ID.

To tie the user to a resource, follow these steps.

  1. Go to Setup > Security > Users/Groups.

  2. Follow the steps outlined in the Create a New User topic to create a new user, or click Edit next to an existing user ID.

  3. Select the Resource and Details tab. All fields on this tab are optional.

  4. In the Resource field, enter a valid Resource ID into the text field, or select a Resource Name from the drop-down menu. This is the resource you will tie to the selected user ID.

  5. If you want this resource ID to be the default resource filled into resource-related fields, like Time Charge Resource Number on a new work order time charge, check the Default Dropdown option.

  6. If you want this resource ID to be the default assignment tied to a new work order created or saved by the selected user, check the ;Assign Work Orders option.

  7. If you select Assign Work Orders, any work order that saved with this user ID will be automatically assigned to the resource selected in step 4. This includes any work orders saved while using a Quick Close page in the Work Orders module or any work orders saved in the Dispatch module.

  8. If you want to list a department head or manager for the selected user, enter their name in the Department Head field.

  9. The User Name field, under Customer Care Center, is automatically populated when you access and sign into the CCC through the Help menu for the first time. This connection allows you to access the Customer Care Center without having to sign in every time.

    If you want to remove the tie between this user ID and a Customer Care Center user name, click Clear Credentials. The next time this user ID is used to access the CCC through TMS, the User Name will be re-populated.

  10. Click Save.
