Link Report Definitions and Data Sources

Once you have created your data sources and report definitions, you might want to link one or more of them. (See the Data Sources section or the Report Definitions section for instructions on creating these items.) Linking these records will allow you to apply formatting to the data generated by a data source.

There are two ways to link these record types: via the Data Source Edit screen or via the Report Definition New screen. In the Build a Standard Report Definition topic, we covered linking an existing data source to a new report definition, on the Report Definition New screen. Below, we describe the other method.

The Reports Tab on the Data Source Edit Screen

  1. Navigate to the Data Source Edit screen by one of these methods:

    • Querying for and selecting a data source record.

    • Selecting the Edit item from the Data Sources menu and entering a valid Data Source Name.

    • Creating and saving a new data source.

  2. On the Data Source Edit screen, click the Reports tab.

  3. The Reports grid on the tab lists report definitions that are linked to the data source. Reports shown here might be linked to the data source via the Data Source field on the Report Definition screen. These reports can't be deleted.

  4. To link a new report definition to the data source, click the New button in the Reports grid.

The Report Definition New screen opens in a child window. The Name and Description fields are filled with the data source's name, and the Segment field is filled with the same segment as the data source.

If needed, you can change the Name and/or Description for the new report definition.

  5. Fill in the remaining required fields and any optional fields as is necessary. (See the Build a Standard Report Definition topic for descriptions of the fields on the Report Definition New screen.)

  6. Click Save.

  7. The child window now shows the Report Layout tab and the Security tab. You have the option of editing one or both of these tabs in the child window now, or you can edit these tabs later by either re-opening the record from the Data Source Edit screen or going to Reports > Edit.

  8. When you're done editing the new report definition, click the red Close button in the upper-right corner of the window.

  9. Click the Save button on the Data Source Edit screen.
