Check Keys In and Out

To issue keys to requesters with work orders, follow the workflow below.

When a Request is Received

A request for a key comes in from Web Request. It will be marked with the following:

Field Value
Description Key Request
Type Request
Status Active
Sub Status Ready to Issue
Asset The key being requested.
Requester The person requesting the key.

When the Request is Processed

To process the request, you will change the work order to a Status/Sub Status combination of Active/Checked-Out. You will then physically issue the key to the requesting individual.

After the Key is Returned

After the key is physically returned to the key storage location, the key can be checked back into TMS. To do this, you will change the Status/Sub Status combination of Complete/Checked-In. This completes the cycle.

View the Progress of the Key

As the request work order's status is changed, the changes are logged in TMS. You can view when those changes were made with the Status Change Log.

Open a key request work order, and click the Information button next to the Status field. A log window opens, similar to the one below.
