Add and Update Line Items

The Line Items tab lists all Line Items associated with a requisition, which will make up the line items on the purchase order generated from the requisition.  This tab is only available in Edit mode. Line items come from the Materials module.  To add line items, follow these steps.

Add Line Items

  1. Open a requisition in Edit mode, either by creating and saving a new requisition, or by going to Purchasing > Requisitions > Edit and typing in the number of the requisition to which you want to add a line item.

  2. You can also go to Purchasing > Requisitions > Query, and search for the requisition, if you don't know the Requisition Number.

  1. Click the requisition's Line Items tab. Any line items currently associated with the requisition will be listed in the grid.

  2. Click the New Line Item button. The Line Item pop-up window opens.
  3. In the Item field, enter the Material Number for the item you want to order.  Or, use the Lookup button to retrieve this information via the Material Query screen.
  4. The Unit Cost field is filled in from the material record. If necessary, modify the cost for this requisition. This is the price quoted by the vendor (expressed in Cost Units of Measure) in the vendor's currency.
  5. In the Quantity field, enter the number of items you need.
  6. Select a Unit of Measure from the drop-down menu.

  7. If necessary, specify a date in the Date Needed field.

  8. Click the Issue tab.

  9. In the Issue To field, select to where you want to issue the line item.  You can choose Account, Asset, Resource, Warehouse, or Work Order.
  10. Depending upon your selection in step 9, select or enter the appropriate account, asset, resource, warehouse, or work order as the Issue To destination.
  11. The default Issue To destination is Warehouse, and the default warehouse is the one specified on the Main tab of the Requisition Edit screen.

  12. The Vendor field should be filled in automatically, based on the material you entered in the Item field on the Main tab. If you want to select a different vendor for this line item, however, enter a different Vendor ID, or click the Lookup button and search for a different vendor for the item.

  13. If there are any additional notes you want to add for this line item, click the Notes tab and enter your comments into the Notes field.

  14. When you're done filling in the required and optional fields, click Save.  Click Another to save this line item and add additional line items.

Now that the requisition has line items associated with it, the requisition is ready to be sent for approval. Once it is approved, you will be able to generate a purchase order from the requisition. See the Generating a Purchase Order topic for more information.
