Template Allocator Prefix Tool

As a bucket administrator, configure prefixes for use with Template Allocator v2 (TA2) to create new drawing numbers quickly and consistently. Use prefixes to determine how artefact numbers are generated from metadata fields. Prefixes ensure numbering is consistent, prevent conflicts, and speed up template creation. With prefixes, you:

  • Standardize artefact numbering

  • Maintain multiple numbering conventions (prefixes)

  • Automate sequential numbering

  • Link metadata to artefact numbers for accurate categorization

Prerequisites

  • Configuration: Accruent must activate TA2 in your bucket. If it is not enabled, contact Accruent Support.

  • Metadata fields: Create selection-type metadata fields and populate values. You can use dependent metadata to configure prefixes automatically.

  • Master templates: Upload master templates to the bucket.

Access the Template Allocator Prefix tool

  1. Click your profile image and select Manage Bucket.

  2. Select Template Allocator Prefix.

  3. Review existing prefixes:

    • ID: Identifier automatically generated by the system

    • Name: The prefix name helps you quickly identify the numbering rule.

    • Applies To: The type of artefact this prefix applies to.

    • Separator: Character that separates sections of the artefact number, such as hyphen or underscore.

    • Number: The starting number in the sequence. Each new artefact created with this prefix receives the next available number.

    • Preview: Displays final artefact format with selected metadata and settings.

    • Active: Turn the prefix on or off.

  4. To download prefix details, click Download CSV.

Create prefix

  1. Click New Prefix.

  2. In Wizard Step 1, enter:

    • Name: Short, descriptive label that helps users quickly identify the numbering convention.

    • Applies To: Artefact type the prefix applies to.

    • Quantity of Metadata Fields Required: Number of metadata fields used in the prefix.

    • Prefix Separator: Character that separates sections of the artefact number, such as hyphen, underscore, or space.

    • Digits of Sequential Number: Number of digits for the unique sequential number.

  3. Click Next.

  4. In Wizard Step 2, select the metadata fields.

    Check that any dependent metadata relationships are valid to avoid conflicts when creating prefixes.

  5. Click Next.

  6. In Wizard Step 3, review the information carefully.

    Once created, you can't edit a prefix. Fix any issues before submitting.

  7. Click Submit.

    The new prefix appears in the Template Allocator Prefix list and is active by default.

If you create a prefix with incorrect information, deactivate it and create a new one. This restarts the sequential number.
