Asset
Asset helps you locate an asset within an organization when creating a service request, organizing the details hierarchically. Assets get organized within a hierarchical structure that establishes parent-child relationships. An asset can function as a parent to subordinate assets. For instance, an HVAC unit might serve as a parent to components such as coils and is maintained just like other assets.
Each asset in the tree is identified by its asset classification, a name, and a unique identifier. Complete information about the asset, including the maintenance history, is contained within each asset record.
For instance, consider a hierarchy that includes the following:
-
Organization
-
Location
-
Building
-
Asset
When you choose an organization, it links to the location options. The available building selections then depend on the organization and location. The assets list adjusts according to these selections. You can choose a different organization only if your organization grants you access to more than one. Otherwise, you can make only one default selection.
The system administrator sets up all details displayed in Asset.
Use any of the following methods to select the asset.
Asset search
Select an asset that meets or exceeds the minimum set level configured by your organization's administrator. Familiarize yourself with these minimum levels beforehand or check the Maintenance Repair & Operations (MRO). Choose a different asset if it doesn't meet the minimum set level. For example, if the set minimum is 5 and you select an asset with only 4 levels, then choose a different asset.
-
On the New service request page, in Asset search, enter at least three characters of an asset.
A dynamic list appears, displaying assets that match your search query.
-
Select an asset from this list.
The location tree automatically populates the levels corresponding to your selection.
-
To choose a different asset, click Clear and search again and perform a new search.
Organization location tree
The organization location tree is dynamic, with the organization being the top level in the hierarchy. Selecting an organization populates the next tree level with relevant options. For instance, choosing a location prompts the system to fill the subsequent field with corresponding location options.
Your system administrator sets the hierarchy, field labels, and options.
-
On the New service request page, select Organization location tree.
-
In Organization, select an organization.
The next tree level auto-populates with corresponding options.

Scan asset
Scan the asset barcode or QR code to select the location/asset. This action auto-populates the asset hierarchy, bypassing the need for manual navigation through the hierarchy levels. We support various barcode types on Android Chrome and iOS Safari.
Your device must be capable of scanning a QR code and the equipment or asset must have a barcode or QR code.
-
Tap Scan.
The photo scan option opens.
-
Point your device's camera at the QR code.
-
The camera automatically scans the code.
-
In the confirmation message, click Apply.
