View, complete, and take action

You can view the data submitted with a form step as well as the actions an approver has taken by opening the Read-Only copy of the form. Depending on your role and permissions, you can also:

You can view the data submitted with a form step as well as the actions an approver has taken by opening the Read-Only copy of the form.

To view a read-only copy of a Work Flow form step:

  1. Follow the Navigate to the Work Flows Page procedures above.

  2. Find the Work Flow whose form step you want to view.

    If you need help locating the Work Flow, follow the Sort and Search the Work Flow Page procedures above.

  3. Click A small, white, square button with a plus symbol in its center. next to the Work Flow.

    This expands the Work Flow steps.

  4. Click the step name.

    A window opens, asking if you want to check the form out or view a read-only copy.

  5. Click Read Only.

    A read-only copy of the form opens. At the bottom of the window, you might see the actions approvers have taken on the form. Their e-signatures appear next to the action they took.

  6. Click Close.

    The window closes.

Complete a form step

To complete a Work Flow form step:

  1. Click the step name.

    A window opens, asking if you want to check the form out or view a read-only copy.

  2. Click Check Out.

    The form opens.

  3. Complete the fields in the form.

  4. Do one of the following:

    • Click Update.

      Your changes are saved.

      Other users are unable to make changes to this form until you check it in. To check in the form, either click Update & Check In or click Check In next to the Work Flow step on the Work Flow page.

    • Click Update & Check In.

      The window closes. Your changes are saved, and the form is checked in.

      If this form requires an approver, the Complete appears in the window.

    • Click Complete.

      The form is marked as complete. It is sent for approval.

Take approval action on a form step

  1. Click the step name.

    A window opens, asking if you want to check the form out or view a read-only copy.

  2. Click Check Out.

    The form opens.

  3. Review the data entered in the form.

  4. Make any changes to the data as necessary.

  5. Choose between three options:

    • Click Update.

      Your changes are saved. The window remains open.

    • Click Update & Check In.

      Your changes are saved. The window closes, and the form is checked in.

    • To take action on a form step:

      1. Click Update & Take Action.

        The Actions page of the window opens.

      2. Select the action you want to take from Action.

        Actions are configured by your system administrator on the Work Flow template. You may be required to enter your E-Signature PIN to confirm your identity.

      3. If required, enter your PIN in Signature PIN.

        Once you enter your PIN and complete the step, your E-Signature will be attached to the Work Flow step.

      4. Enter a comment explaining the reasoning for the action in Action Comment.

      5. Click Update.

        The window closes. The action is complete.

Complete a task step

  1. Click the step name.

    A window opens with several tabs for editing the task step.

  2. Select Completed from the Status on the General tab.

    Once Completed is selected, the Percent Complete changes to 100% and the Forecast/Actual End date field changes to today's date.

  3. Click OK.

    The window closes. The status of the task step changes to Completed.
