Work Flows

By default, the Work Flows screen lists all Lucernex Work Flows where you are an assignee or approver. Each tile represents a Work Flow and shows:

  • Work flow type

  • Date created

  • Priority

  • Project name.

View your Work Flows

  1. Tap Menu.

  2. Tap My Work Flow.

Search for Work Flows

  1. Tap the Search icon in the upper-right.

  2. Enter search criteria.

Filter Work Flows

You can filter the Work Flows listed on the My Work Flows screen to show only those that are Past Due or Not Past Due. Tap the filter you want at the top of the screen, or tap All to view all Lucernex Work Flows where you are an assignee or approver.

Filter Work Flows by Status

In My Work Flows, you can now filter the list of workflows by their status.

  1. Select each status you want to include.

    A green check mark displays next to each selected status.

  2. Tap Done.

Work Flow detail

View Work Flow detail including steps that are due or past due. Tap the tile for the Work Flow you want to view from the project or My Work flows screen. The Work Flow Detail screen lists:

  • Work Flow Name

  • Priority

  • Status

  • Created Date

  • Closed Date

  • Number of Days Open

  • Is Completed? flag

  • Work Flow steps

Depending on the Work Flows that you are assigned, you can:

  • Initiate a change order, purchase order, or RFI request for information.

  • Update or complete a task with documents, pictures, or notes.

  • Approve or reject a request.

The available actions depend on the Work Flows you have access to and the steps you are assigned in each Work Flow.

Forms

Typically, a Lucernex Work Flow is initiated by completing a task in a schedule or adding a Work Flow kickoff form. This depends on your role and the Work Flow configuration your organization has chosen.

To view the Work Flow kickoff form, tap View Kickoff Form on the Work Flow Detail screen.

From the Step Details page, you can view the Approver or Assignee form depending on the Work Flow task that you are viewing.

Complete a Work Flow step

The options displayed and the activities you carry out in the app depend on the Work Flow steps that are configured for your organization. You may be required to do one or more of the following depending on your workflow:

  • Approve or reject a form

  • Add an approved amount

  • Complete fields

  • Upload a document such as a photo or file.

  1. Tap the tile of the Work Flow you want to take action on.

  2. Tap the Steps pane to expand it.

  3. Tap the step you want.

  4. Depending on the task that you are completing, tap either View Approver Form or View Assignee Form.

  5. Complete the required items on each step.

Upload an existing document

  1. Tap Documents to expand it.

  2. In Documents, tap Add if no documents are listed, otherwise tap the Documents pane.

  3. Tap Select.

  4. Tap Select Document.

  5. Tap the document you want.

  6. Tap Add.

Upload a new document

  1. Tap Documents to expand it.

  2. In Documents, tap Add if no documents are listed, otherwise tap the Documents pane.

  3. Tap Upload.

  4. Upload to an existing folder:

    1. Tap Folder.

    2. Select a folder.

      Enter a folder name in Search to narrow the list.

  5. Upload to new folder:

    1. Tap the Create New Folder slider.

    2. If required, select the Parent folder you want.

    3. Enter a name for the New Folder.

  6. Do one of the following:

    • Take a new photo:

      1. Tap Take photo.

      2. Use your camera to take a photo.

    • Choose an existing photo:

      1. Tap Choose photo.

      2. Select a photo from your camera roll.

    • Choose an existing file:

      1. Tap Choose file.

      2. Select a file on your device.

  7. Tap Add.

  8. Tap Update.
