Add Form Fields

Form field values are unique to each form instance and are stored at the form-level. Form fields cannot be displayed on pages.

Use these best practices for form fields:

Add Report / Form Field

Add a report or form field to a form. Also add fields to your form directly in the Page Layout Editor.

  1. Select Edit Fields in the Actions column of the form type.

  2. In the Edit Fields window, select Add Report / Form Field.

  3. Add the fields you want in the Add Report / Form Field window.

ClosedStandard field

Add standard fields to forms. Always include the Assignee(s) field to allow users to reassign the form.

  1. Select Standard Field if not already selected.

    This is the default selection.

  2. In Default Name, select the field to add.

  3. Select Add.

ClosedCustom field

  1. Select Custom Field.

  2. Complete Add Report /Form Field dialog:

    • Field Name: Enter a name using our best practices for naming fields.

    • Integration Name: Enter a database name using our best practices for database field names.

    • Required: Select Yes if this is a required field.

    • Form Field Type: Select a type.

    • Drop Down Types: Available when Drop Down >> is selected in Form Field Type.

    • Drop Downs: Select the drop down field to add. Available when Drop Down >> is selected in Form Field Type and an option is selected in Drop Down Types.

    • Custom Lists: Available when Custom List >> is selected in Form Field Type.

  3. Select Add.

ClosedNumber / Currency Math field

  1. Select Mathematical Operation Field.

  2. Select Add Number/Currency math field.

  3. Complete the Mathematical Operations Builder:

  4. Build your mathematical operation using Available fields, Numeric Constants, Entity Fields and operations.

    • Select mathematical operation buttons to add them to Current operation.

    • Move a field from the Available fields to the Current operation:

      1. Select a field in Available fields.

      2. Select > > in the center of the window.

        The field moves to Current operation.

    • Add a numeric constant:

      A numeric constant is a number that does not change. You must enter a number.

      1. Enter the number value you want to add to your current operation in the Numeric Constant field.

      2. Click > > to the right of the Numeric Constant field.

        The number is moved from the Numeric Constant to the Current operation field.

        If you mistakenly enter a character in Numeric Constant and an error dialog continually displays, open another browser tab, return to the browser tab you're working in, select OK in the error dialog to close it, then delete the character you entered.

    • Add a new entity field to Available fields:

      1. Select the table in the first field under Add Entity Field.

      2. Select the sub-table in the second field under Add Entity Field.

      3. Select the entity field in the third field under Add Entity Field.

      4. Click > > below the third field under Add Entity Field.

        The field is added to Current operation.

  5. Select Submit.

  6. Select Add.

ClosedDate Math field

  1. Select Mathematical Operations Field.

  2. Select Add Date math field.

  3. Complete the Date Expression Builder:

    • Field name on report: Enter a name using our best practices for naming fields.

    • Is Required: Select Yes if this is a required field.

    • Difference in days: Create a date expression for a difference between two dates:

      1. Select Difference in days.

      2. In the leftmost field, select the date to subtract from.

      3. In the rightmost field, select the date to subtract from the leftmost field.

    • Add Days: Create a date expression for a date plus a fixed number of days:

      1. Select Add Days.

      2. In the leftmost field, select the date to add days to.

      3. In the rightmost field, enter the number of days to add.

    • Subtract Days: Create a date expression for a date minus a fixed number of days:

      1. Select Subtract Days.

      2. In the leftmost field, select the date to subtract days from.

      3. In the rightmost field, enter the number of days to subtract.

  4. Select Submit.

  5. Select Add.

ClosedTime Math field

  1. Select Mathematical Operations Field.

  2. Select Add Time math field.

  3. Complete the Time Expression Builder:

    • Field name on report: Enter a name using our best practices for naming fields.

    • Is Required: Select Yes if this is a required field.

    • Difference in hours: Create a date expression for a difference between two times:

      1. Select Difference in hours.

      2. In the leftmost field, select the date to subtract from.

      3. In the rightmost field, select the date to subtract from the leftmost field.

    • Add Days: Create a date expression for a date plus a fixed number of days:

      1. Select Add Days.

      2. In the leftmost field, select the date to add days to.

      3. In the rightmost field, enter the number of days to add.

    • Subtract Days: Create a date expression for a date minus a fixed number of days:

      1. Select Subtract Days.

      2. In the leftmost field, select the date to subtract days from.

      3. In the rightmost field, enter the number of days to subtract.

  4. Select Submit.

    Select Add.

    Select Submit.

ClosedMath field with form fields

Include numerical form fields in the operations you build using the Mathematical Operations Builder.

Edit Report / Form Field

  1. Select Edit Fields in the Actions column of the form type.

  2. In the Edit Fields window, select Edit in the Actions column of the record.

  3. Make your changes.

  4. Select Change field name globally to apply changes to the field name to all child form layouts of this form.

  5. Select Update.

    Your changes are saved.

Delete Report / Form Field

  1. Select Edit Fields in the Actions column of the form type.

  2. In the Edit Fields window, select Delete in the Actions column of the record.

  3. In the confirmation dialog that opens, select Yes.
