Audit Reports - Data / PS Tools

The Audit Reports page in the Data / PS Tools section of the System Administrator Dashboard allows you to review data changes made to records in Lucernex.

When an administrative user has logged in as another member, the administrator’s name will appear in the Member Name column for any actions the administrator takes as that member. Additionally, you can click the value in the Member Name column to view login audit information for that user on that date.

The system only stores audit records for fields on the SLPeriod and LinkSecurity database tables at initial record creation, such as when a lease accounting schedule is generated and when a user updates a field.

The system will not create audit records for fields whose values cannot be edited by the user.

A message appears on the Audit Reports page when you select the SLPeriod database table from the And Table field. The message reads, “To optimize performance only the following SLPeriod field values are audited for Insert: Straight Line Period RecID, Record Status”.

Note:

The Audit Reports page provides you with a list of filters you can use when generating a report. Please note that these filters are all optional.

To navigate to the Audit Reports page:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Audit Reports link in the Data / PS Tools section.

    The Audit Reports page opens.

  3. Follow a procedure below.

To run an audit report:

  1. Select the appropriate value from the fields described below:

    • Changes made by: Select the user whose changes you want to view from this field.

    • And Last Viewed: Select the entity type you want to filter by from this field.

    • In Group: Select the data group you want to report on from this field.

      Examples include Budget, Company Items, Contracts, and so on.

    • And Sub-Group: Select the data sub-group you want to report on from this field.

      The sub-groups in this field are sorted by their parent group. For example, the Company Items group contains the Budget Template, Contacts, and Custom Code Fields sub-groups.

    • And Table: Select the database table you want to report on from this field.

    • Special Filters: This field contains three options:

      • Payment Review Triggers: Select this option if you want to report on changes which triggered the Review flag on a payment transaction.

      • Schedule Review Triggers: Select this option if you want to report on changes which triggered the Review flag on an expense schedule.

      • SL Recalculation Triggers: Select this option if you want to report on changes which triggered the Recalc? flag on a lease accounting schedule.

        Note:

        You can get a maximum of 40 days of data at a time when running a Special Filters report.

  2. Enter the appropriate dates in the date range filters.

    You can also click Calendar A small button with a picture of a calendar on it. to open the Date Picker and select the appropriate date.

  3. Select the appropriate times from the time filters.

  4. Click Show Changes.

    The changes which match your search criteria appear in the table.

    The Item ID column contains a unique identifier for the parent record that has been modified. Click the hyperlink in this column to view a summary of changes to the parent record over time.

  5. To export the report results to a spreadsheet, click Download into Excel The Microsoft Excel logo.in the upper-right corner of the Audit Reports table.
