Folder Security

This walkthrough will teach you how to configure the security of your folders at the Manage Company-level, at the Folder Template-level, and at the Entity-level.

Important!

Users must only have View access to the Manage Security > Page Access > Entity > Details > Documents setting. If you grant Edit or Delete access, users can modify your security settings.

ClosedSecurity Settings

This section shows you the actions a user can take at the file-level and the folder-level depending upon the security configuration of their user class.

ClosedFile-Level

This table indicates the types of actions a user can take at the file-level on the Documents page depending upon their permissions level.

A user who has Upload permissions to a folder has full permissions to any document that THEY upload to that folder. The user cannot see or modify any documents that other users have added to the folder.

Folder permissions at the template-level are only applied when the template is applied to your entity. If you make adjustments to security permissions on your template, the permissions will not automatically filter down. You must re-apply the folder template to your entity for the security updates to take effect.

ClosedFolder-Level

ClosedConfigure Folder Security at the Manage Company-Level

To configure folder security at the Manage Company-level:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Company link in the Company Administration column.

    The Manage Company page opens.

  3. Select the security settings you want:

    • Default Folder Security: Default user permissions set for all user classes on all folders unless they are changed at the template-level from this field. We recommend that you set the value for the default folder security to what it should be for 80% of your folders.

      The available permissions are:

      • Download: Users can download files.

      • None: Files do not appear in the folder structure.

      • Read-Only: Users can view audit and revision history of files.

      • Upload-Only: Users can upload files, but not see files uploaded by others.

      • Upload / Download: Users can check out files, upload new files, and download files.

      The Max Document Storage (GB) displays the total document storage you are allowed in Lucernex. Your storage space is specified in your Master Service Agreement. To the right of this field, you can see the Actual Storage you are currently using. The system will allow you to exceed your maximum storage space, but you will be billed for every 1 GB over the maximum storage space specified in your agreement.

    • Child Folder to inherit Parent Security?: Select Yes to default child folder security settings to those of their parent folder.

      • This setting does not lock down editing of child folder security settings.

      • This setting only appears when creating sub-folders either at the template-level or when adding a sub-folder within an entity. It is not an ongoing relationship.

      • This setting will not adjust the security settings of child folders if a user makes changes to the parent folder settings.

  4. Click Update at the bottom-center of the page.

    Your Manage Company settings are updated.

ClosedConfigure Folder Security at the Folder Template-Level

Folder permissions at the template-level are only applied when the template is applied to your entity. If you make adjustments to security permissions on your template, the permissions do not automatically filter down. You need to re-apply the folder template to your entity for the security updates to take effect.

To manage folder security at the folder template-level:

  1. Click Admin in the toolbar in the upper-right corner of the window.

    The System Administrator Dashboard page opens.

  2. Click Manage Folder Templates link in the Folder Administration column.

    The Manage Folder Templates page opens.

  3. Select the Folder Structure tab.

    The Folder Structure page opens.

  4. Select the appropriate folder template from the Folder Template field.

    The folder template appears on the page.

  5. Right-click the folder whose permissions you want to edit in the Documents menu.

  6. Select Folder Security from the field that appears.

    The Security Settings for [Folder Name] window opens, with a list of the available user classes.

  7. Select the security settings for each user class:

    • Default: Use the default settings for this user class.

    • Download: Only allow downloading for this user class.

    • None: Hide this folder from this user class.

    • Read-Only: Make this folder read-only for this user class.

    • Upload Only: Only allow this user class to upload documents to this folder.

    • Upload / Download: Allow this user class full access to the folder.

  8. Click Update Folder Security.

    The window closes. The folder security settings are updated.

ClosedConfigure Folder Security at the Entity-Level

Important!

Users must only have View access to the Manage Security > Page Access > Entity > Details > Documents setting. If you grant Edit or Delete access, users can modify your security settings.

To set the security for a folder:

  1. Right-click the folder in the Documents menu.

  2. Select Folder Security from the field that appears.

    The Security Settings for [Folder Name] window opens, with a list of the available user classes.

  3. Select the security settings for each user class:

    • Default: Use the default settings for this user class.

    • Download: Only allow downloading for this user class.

    • None: Hide this folder from this user class.

    • Read-Only: Make this folder read-only for this user class.

    • Upload Only: Only allow this user class to upload documents to this folder.

    • Upload / Download: Allow this user class full access to the folder.

  4. Click Update Folder Security.

    The window closes. The folder security settings are updated.

ClosedVendor document settings

If a vendor has the Allow Employees Upload / Download access to Employer Documents setting enabled on their employer record, employees of this employer will have Upload / Download access to documents uploaded by employees of the same employer.

This feature only applies if the users already had Upload Only access to the folder.
