Conditioning

The Conditioning page is where you can compare bids submitted by bidders. On the Conditioning page you can view the variance between bids and add comments to line items.

You can also view what Bidders have submitted for alternate line items and breakouts. You cannot edit or delete bid alternates or breakouts from the Conditioning page. You can view these values by clicking the hyperlinked item in the bid or by clicking the Bid Alternates or Bid Breakouts buttons in the Actions menu on the right side of the page.

Costs listed on the Conditioning page always include accepted alternates in their totals.

Once you have decided which alternates you want to accept, you will need to accept them on the Bid Line Items page.

These are generic procedures that are common across all or multiple areas of Lucernex. As such, these procedures do not call out specific navigation to the page.

You cannot condition a bid unless the Bid Close Date is in the past.

  1. Navigate to Entity > Bidding > Conditioning.

    Use the links in the Navigation Pane on the leftmost side of the page.

  2. Select the bid you want to view from the menu to the left of the Actions menu.

  3. Follow a procedure below.

ClosedShow variances between bids

  1. Click Show Variances.

    This appears below the Conditioning tab.

  2. Select the bidder you want to compare against from the menu that appears.

    Variance columns appear, showing the difference between the selected bidder and each of the other submitted bids.

ClosedEnter a comment about a line item

  1. Click a field in the blank column to the right of the conditioning column.

    The field becomes editable.

  2. Enter your comment.

  3. Click outside of the field.

    Your comment is saved.

ClosedEnable / Disable Bid Conditioning

After the bid close date has passed, the submitted bids will appear on the Conditioning tab. The Conditioning tab is where you will compare bids and add comments to line items. Once you have completed your review, you will enable bid conditioning. Enabling the bids for conditioning will cause the bid and your comments to appear on the Bid Submission tab.

To enable bid conditioning:

  • Select the Allow Conditioning check box for the bid in the Bidder List.

    The bidder is sent an email informing them that the conditioning period has begun.

To disable bid conditioning:

  • Clear the Allow Conditioning check box for the bid in the Bidder List.

    The bidder is sent an email informing them that the conditioning period has ended.

ClosedAward Bid to Bidder

The Award action is only visible after the Bid Close Date has passed.

  1. Select the bidder you want to award the bid to from the Bidder List.

  2. Click Award.

    This displays in the Actions menu on the right side of the page.

    The Select Winner window opens.

  3. Confirm that the bidder you want is selected in the Select Bid Winner field.

  4. Click Next.

    The Award Bid window opens.

  5. Click Notify Winning Bidder.

    An email window opens. The fields in this window may already be pre-populated based on the parameters set by your System Administrator.

    If you have questions about the format of the email, contact your System Administrator.

  6. Enter any additional information you want to send the winning bidder in the Email Subject and Email Body fields.

  7. Click Send Email.

    The email is sent.

  8. Click Close.

  9. Click Notify Losing Bidders.

    An email window opens. The fields in this window may already be pre-populated based on the parameters set by your System Administrator.

    If you have questions about the format of the email, contact your System Administrator.

    Note:

    The Remove Losing Bidders after Notification? check box is pre-selected in this window. This check box will remove losing bidders from the project or capital project unless:

    1. the bidder has been invited to bid or accepted an invitation to bid on another bid package

    2. the bidder is assigned to a schedule task on the project or capital project

    As a best practice, we recommend you do not clear the Remove Losing Bidders after Notification? check box.

  10. Enter any additional information you want to send the losing bidders in the Email Subject and Email Body fields.

  11. Click Send Email.

    The email is sent.

  12. Click Close.

  13. Click Close.

    The window closes. The Winning Bid column in the Bidder List is now updated to reflect who won the bid and who lost the bid.

ClosedUn-Award a Bid

  1. Navigate to the Budget page of the entity.

  2. Click Budget Creation.

    This displays in the Actions menu on the right side of the page.
  3. Click Status link in the Actions column of the bid award budget column.

    The Status window opens.

  4. Select the default status for the bid award budget column from the Status field.

  5. Click Update.

    The bid is no longer awarded to that bidder.

ClosedBid Alternates

You cannot edit or delete bid alternates from the Conditioning page. To edit or delete bid alternates, go to the Bid Line Items Page.

To view submitted bid alternates:

  • Click Bid Alternates.

    This displays in the Actions menu on the right side of the page.

    The alternate line items for the bid package appear. Each bidder has a separate column which lists the amounts they bid for alternate line items. If a value is 0.00, that means that the bidder did not set a value for that particular alternate.

ClosedShow / Hide Alternates

You can toggle the display of alternate amounts by clicking the Show / Hide Alternates. This appears below the Bidder List, to the right of the Hide Empty.

  • When you click Show Alternates, the Final Bid Amounts are displayed.

  • When you click Hide Alternates, the Base Bid Amounts are displayed.

Important!

This does not add or remove alternates from a bid. It is only used to toggle the display of alternates on the Conditioning tab.

ClosedBid Breakouts

Bid Breakouts are non-budget-impacting line items on a bid package. Breakouts are typically used when bid managers or bidders want to request or provide additional context for a bid line item. For example, bid managers could add breakouts to a fees line item, and use the breakout to request bidders to provide a breakdown of the fees in their bid. Both bid managers and bidders can add breakouts to a bid, but they cannot edit each other's breakouts.

Your System Administrator may have added one or more default bid breakouts to your bid package template for you to use. These default bid breakouts are only added when the bid package template is first applied to an entity—if your System Administrator adds more default breakouts later, the new breakouts will not be added automatically to your bid package.

You cannot add bid breakouts to alternate line items. You also cannot import bid breakouts via spreadsheet.

View Breakouts

Once the bid close date has passed, you can view the bid breakouts submitted by your bidders on the Conditioning page.

  • Click Bid Breakouts.

    This displays in the Actions menu on the right side of the page.

    The Bid Breakouts window opens. The values for each bidder appears in a separate column.
