Add Materials to Work Orders

Add materials needed to complete a work order from the Materials tab. You can add materials to work orders in three ways:

  • From inventory

  • On-the-fly

  • Create material

Add materials from inventory

Add materials from warehouse inventory. Typically, these are items that can only be used once, such as a part a technician needs to install on an asset to complete a work order. Adding an item from a warehouse decreases available inventory of the item by the quantity you add to the work order.

  1. Go to Materials on the work order you want to add materials to.

  2. From the Add menu, select From inventory.

The Main tab of Add material from inventory opens.

  3. Enter the following information:

    • Item number: If you don't know the item number, select Search to look it up.

    • Warehouse

    • Quantity: The number of the items to add.

    • Billable: Select whether the cost of the item is billable.

  4. Open the Change to tab and enter the following information if not already defined:

    • Asset

    • Account

    • Date issued: Defaults to today's date. If the material was issued on a different date, select another date.

  5. To add a comment, open the Comments tab.

  6. Select Add.

Materials shows the items added from inventory.

Add materials on the fly

Add materials to work orders on the fly. On-the-fly items are typically equipment that technicians reuse to complete work orders. Adding on-the-fly items to a work order allows you to bill customers for the cost of using the equipment.

  1. Go to Materials on the work order you want to add materials to.

  2. From the Add menu, select Material on the fly.

The Main tab of Add material from inventory opens.

  3. Enter the following information:

    • Items description

    • Quantity: The number of items to add.

    • Average cost

    • Billable: Select whether the cost of the item is billable.

  4. Open the Chart to tab and enter the following information if not already defined:

    • Asset

    • Account

    • Date issued: Defaults to today's date. If the material was issued on a different date, select another date.

  5. To add a comment, open the Comments tab.

  6. Select Add.

Materials shows the items added on the fly.

Add new materials

Create a new item in the Materials module and add it to a work order. This allows you to add an item needed to complete a work order, but that isn't already available in warehouse inventory.

  1. Go to Materials on the work order you want to add materials to.

  2. From the Add menu, select New material.

    The Create Material page opens.

  3. Enter the material information.

  4. Select Create.

Warehouse and transactions opens, prompting you to attach a warehouse to the new material.

  5. Select Continue in the dialog that opens.

  6. Attach a warehouse in one of these ways:

    • Select a warehouse to attach to the new material.

    • To create a new warehouse to attach, select Add , enter warehouse information in the dialog that opens, and select Add.

  7. Select Update.

    Materials shows the new item.
