Warehouse and Transactions

The Warehouse and Transactions tab in the Materials module show all warehouse locations storing a material, display inventory details, and record all related activity.

This tab includes sections that you can expand or collapse.

The Warehouse section includes:

  • Add: Adds a warehouse to the material.

  • Warehouse: The name or code of the warehouse where the material is stored.

  • Location: Specific storage location or bin within the warehouse for the material.

  • Min. quantity: Minimum stock level allowed for the material in this warehouse.

  • Max. quantity: Maximum stock level allowed for the material in this warehouse.

  • On hand: Current quantity of the material available in the warehouse.

  • Last count: Date when the material was last physically counted for inventory accuracy.

Add warehouse

Add an existing warehouse record for storing and managing warehouses within the system. This ensures accurate inventory tracking across storage locations and clear visibility of material availability in different warehouses.

  1. On the Materials > Warehouse and transactions tab, in the Materials section, click Add.

    The Add warehouse window opens.

  2. Enter the warehouse information:

    • Warehouse

    • Location

    • Quantity on hand

    • Minimum quantity

    • Maximum quantity

  3. Click one of the following:

    • Add to add the warehouse.

    • Add another to keep the window open and add another warehouse.

    • Cancel to cancel the process.

Update warehouse

Update a warehouse to keep warehouse details current for correct inventory tracking.

  1. Select Update from the Actions menu on the left of a row.

  2. In the Update warehouse window, make changes in one or more fields and click Update.

  3. Click Update to save.

Remove warehouse

Remove a warehouse to eliminate inactive or duplicate warehouses to avoid confusion, reduce clutter, and prevents transactions from being linked to obsolete locations.

  1. Select Remove from the Actions menu on the left of a row.

  2. In the confirmation message, click Remove.

    The system removes the warehouse from the material while the record remains in the database.

  3. Click Update to save.

Transactions

The Transactions section includes:

  • Show: Filter the transactions grid by selecting an option to narrow the results.

    • All (default): Displays records for all transaction types.

    • Receipts: Displays only material receipt records.

    • Issues: Displays only material issue records.

    • Adjustments: Shows only material adjustment records, including transfers and counts.

  • Quantity: Number of material units in the transaction.

  • Date created: Date and time when the transaction was recorded.

  • UOM: Unit of measure for the material, for example each, box, and kg.

  • User name: Name of the user who created or recorded the transaction.

  • Transaction code: Code that identifies the transaction type, such as issue, receipt, and transfer.
