Create Schedules

Creating schedules helps improve workflow efficiency, reduce the risk of equipment failure, and ensure that all necessary maintenance and events are conducted in a timely and organized manner. Schedules, in general, and PMs specifically, are important to maintain regulatory compliance. Regulatory agencies periodically audit these work orders to ensure proper maintenance is being completed.

Custom fields added to a form in the Classic TMS Schedules module display in the Accruent TMS PM, IN, or PE Schedules module when updating a record. If you change and update a value in a custom form field, it's saved to the Classic TMS and Accruent TMS database.

In the Schedules module, you need to select one of three schedule types for each feature: PM, PE, or IN.

  • PM (Preventive Maintenance) Schedules: designed to help you maintain assets regularly to prevent problems. This includes routine maintenance tasks for items such as HVAC systems, lab equipment, medical devices, and vehicles. Select PM when you want to schedule regular maintenance activities to keep assets in optimal condition and avoid unexpected breakdowns.

  • PE (Planned Event) Schedules: used to track and manage events that are planned to occur at specific times in the future. These events can be one-time or recurring. Select PE for scheduling events such as fire drills, inspections, employee reviews, and training sessions. This helps ensure that important events are tracked and managed efficiently.

  • IN (Inspection) Schedules: created to facilitate regular inspections of assets. These schedules serve as templates for generating inspection work orders. Select IN when you need to schedule regular inspections to ensure assets are functioning correctly and safely. This is useful for compliance with safety standards and regulations. You can access and update the IN schedule's details.

  1. Go to Schedules > Create (PM, PE, or IN).

  2. On the Main tab, enter the details within each section.

  3. Navigate through the tabs and enter additional details.

  4. Click Create.

    The schedule gets created and the Update schedule page displays, where you can add further details to the schedule.

Schedule status

When creating or updating a schedule, the Main tab form dynamically displays groupings of fields based on the selected schedule status. This ensures that the correct fields appear on the form for the selected schedule status.

  • Active: If the PM due date or next due meter reading falls within the range established in the automatic PM generation setup, TMS automatically generates your PM work orders. The Asset group is enabled. Enter either an Asset number or Asset group.

  • Retired: The schedule is no longer active and will not generate any new work orders. The Asset field grouping is enabled. Enter either an Asset number or Asset group.

  • Default: Used for creating PM schedules for a category of assets. For example, if you create a Default type PM schedule for all of the air handler devices, every time your organization purchases a new air handler, TMS creates a new active PM schedule for the category of assets that is Air Handler. The Asset group is disabled and New asset group is enabled. Select a Category first, then select a Sub category.

  • Unscheduled (On-Demand): These do not generate by Automatic PM Generation. These PE schedules should be created for planned events that occur on an as-needed basis. The Asset group is enabled. Enter either an Asset number or Asset group.

Schedule type

When creating or updating a schedule, the form dynamically displays the Calendar or Meter grouping fields based on the selected schedule type. This ensures that the correct fields appear on the form for the selected schedule type.

The Schedule type determines which fields are editable and which are disabled based on the chosen scheduling method as follows:

  • Calendar: The Calendar field grouping is enabled, and the Meter grouping is disabled..

  • Meter: The Meter field grouping is enabled, and the Calendar grouping is disabled.

  • Both: Both the Calendar and Meter field groupings are enabled.

  • Unscheduled: Both the Calendar and Meter field groupings are disabled.
