Company Regions

Regions are used to group properties that belong to a single company together to facilitate managing these properties. For example, if ABC Management company manages 50 storefronts across the United States, these properties can be grouped into North, South, East, and West regions. Regions can be set up hierarchically to facilitate property management for complex organizations. A company may have both North American and European regions, each divided into additional regions for each country.

The Company Regions page allows you to create a region associated with a company and to view/edit information about a company's existing regions. Once a region has been created, you can define the appropriate parent/child hierarchy on the Region Hierarchy Setup page, and associate properties with the region on the Associate Properties to Regions page.

To open the Company Regions page:

  1. Open the Administration Menu page.

  2. Under the COMPANY ADMIN heading, click Company Regions.

  3. Click the SELECT COMPANY button to select the company you want to work with.

Adding a region allows you to create a group for a company that can contain properties or other regions. Once a region is created, you can put it in the appropriate place in the region hierarchy and associate properties with it.

To create a region:

  1. In the Region Name field, enter a name for the new region.

    The region name must be unique within the company.

  2. In the Region Type field, select the type of region, for example, Region or Site.

    If you define region user-defined fields, the region type determines which UDF groups are associated with a particular region.

  3. In the Description field, enter a short description of the region.

  4. Click ADD.

ClosedCurrent Regions

The Current Regions pane lists all of the regions associated with a company. In this pane you can modify the region information, view region details, or delete a region.

  1. To modify region information, edit any of the following fields and then click UPDATE.

    • Region Name – the name of the region
    • External Region ID – the identifier of a region used with an external system
    • Region Type – the type of region
  2. To view region details, click the Region Details link.

    Clicking this link opens the Region Details page, allowing you to view detailed information about the region, including region hierarchy information (parent/child regions), a list of links to the properties in the region, and the user-defined fields associated with the region.

  3. To delete a region, click the DELETE button.

    A dialog box opens asking you to confirm your choice. Click OK to delete the region.

    Note:

    You cannot delete a region that is currently being used. For example, you cannot delete a region if:

    You must remove all of these associations before you can delete a region.

ClosedRegion UDF Report

Clicking the Region UDF Report link generates a report that lists the UDF values stored for each region associated with the selected company. The generated report contains one row for each region. The results include:

  • Region Name – the name of the region
  • Region Description – a short description of the region
  • Region Type – the type of region, for example, Region or Site
  • External Region ID – any region ID used in conjunction with an external system
  • External Company ID – any company ID used in conjunction with an external system
  • Company Name – the name of the company
  • Company Address – the street address of the company
  • Company Address 2 – additional street address information for the company
  • Company City – the city the company is located in
  • Company ZIP Code – the postal code of the company
  • UDFs – separate columns are listed for each UDF associated with the region where the name of the UDF is used as the column heading; the value of the UDF for each region is listed

ClosedDisplay Properties by Region

The Display Properties by Region pane allows you to select a region associated with the company and display a list of properties associated with that region.

To display properties by region:

  • In the Region field, select a region defined for the company.

    A list of the properties associated with the selected region appears, including the name and location of each property.
