Property/Region Request Notifications
The Property Notifications and Region Notifications allow an administrator to specify whether email notifications are sent for specific types of work requests, and who should receive notification when an unscheduled work request is assigned. The page also allows administrators to print an Excel spreadsheet listing all established notifications.
These notifications can be set up at the property level (for a specific property only) or at the region level (for all properties within a selected region). If both region and property notifications are established, a property notification overrides the region notification. Specific notification rules can be established based on combinations of request type, subType, priority, and space/floor location.
Property and region notifications can also be set up to define the default assignee of a particular type of request. This is done by electing to have a particular user assigned to the request, not just notified of the request.

To open the Property Notifications page:

Open the Administration Menu page.

Under the LOGBOOK ADMIN heading, click Property Request Notifications.
To open the Region Notifications page:

Open the Administration Menu page.

Under the LOGBOOK ADMIN heading, click Region Notifications.
To add an work request notification:

Click the SELECT PROPERTY or SELECT REGION button to select the property or region you are defining the notification for.
A dialog box opens allowing you to select the property or region.

Click ADD NOTIFICATION.
A dialog box opens allowing you to specify notification parameters.
- In the Type field, select the type of work request you are creating a notification for.

In the Sub Type field, select the subType of work request you are creating a notification for.
You do not need to select a subType.

In the Priority field, select a priority.
If you select a priority, notifications will only be sent if the work request has the specified priority, for example, critical or high priority.

In the Space/Floor field, select a space/floor.
Space/floor specifications are used for property notifications only, not region notifications. If you select a space/floor, notifications will only be sent if the specified space/floor is associated with the work request. If your installation is using the Space module's location hierarchy, do not specify a value.

In the Notify field, select the name of the user to notify.
Only users who have security rights to the specified property are included.

Select a Default Action.

Assigned To – Select this value to create an assignment rule. When selected, the selected user will be the default assignee for work requests of the selected type.
Note:
If the default action is to assign the work request, you must make sure that the specified user has security rights to an activity group containing the specified type of request.

Notify – Select this value to create a notification rule. When selected, the selected user will be notified about requests of the selected type.

In the Notify via Email field, select a value.
These values indicate whether the selected user will be the main recipient of the email or copied on the email.

In the Method field, select the email account to send the notification to.
Some users have multiple email accounts associated with their user account (for example, mobile email, home email, work email). This value indicates which account to send the notification to.

Select a Start Time and an End Time for the time period when this notification applies.
Specifying a time period provides more flexibility and allows administrators to limit when email notifications are sent. For example, you may want to assign a certain type of request to one person during normal working hours and to another person after hours. If you do not specify a value, the notification applies at all times.

In the Days check boxes, select the days when this notification applies.
For example, you may want to assign a certain type of request to one person during the week and to another person on the weekend.
- Click ADD.
You can view a list of all the email notifications that have been created and print the list of notifications to an Excel spreadsheet. To view/print email notifications:

Click the SELECT PROPERTY or SELECT REGION button to select the property or region.
A dialog box opens allowing you to select the property or region to view notifications for.
- In the Filter By Request Type field, select a work request type to narrow the list of displayed notifications.
- Click the Excel link to generate a spreadsheet containing a list of all displayed notifications.
Once you have created a notification, you can further define it or edit it. To edit a notification:

Click the SELECT PROPERTY or SELECT REGION button to select the property or region containing the notification you want to edit.
A dialog box opens allowing you to select the property or region.
- In the Filter By Request Type field, select a work request type to narrow the list of displayed notifications.

Click the Edit button to right of the notification you want to edit.
The Edit Notification dialog box opens.

Modify any of the following values:
- Type – this value cannot be modified; to change the type you must delete the notification and create a new one
- SubType – the subType of work request
- Priority – the priority or importance of the work request
- Space/Floor – the space/floor associated with the work request (for property notifications only)
- Notify – the person to notify
- Default Action – whether to notify the specified person or assign the request to him
- Notify via Email – whether the person should be the recipient of the email or copied on the email
- Method – which user email account to send the notification to
- Start Time / End Time – the time period when the notification applies
- Days – the days on which the notification applies
- Click UPDATE.
Notifications that are no longer needed can be deleted from the system. To delete a notification:

Click the SELECT PROPERTY or SELECT REGION button to select the property or region containing the notification you want to delete.
A dialog box opens allowing you to select the property or region.
- In the Filter By Request Type field, select a work request type to narrow the list of displayed notifications.

Click the DEL button to right of the notification you want to delete.
A dialog box opens asking you to confirm your choice.
- Click OK.
The Other Options pane provides options that allow you to quickly configure a group of notifications instead of creating them on a type-by-type basis.
Quick Configure Notifications
The Quick Configure option allows notifications to be set up for all request types that are contained in a particular activity group, all at once. To do so, you would select the activity group instead of the individual request type, define all the standard notification parameters, and click Create.
The set of notifications you created are displayed in the yellow pane at the top of the page and you can edit individual notifications.
For example, using this feature, you could elect to assign all High priority Emergency work requests to Amy Wilson, instead of defining each type of work request in the emergency group individually. Then, you could edit the set of assignments you created, assigning a couple of types of emergency requests to another user.
Quick Delete Notifications
The Quick Delete option allows a group of notifications for all request types that are contained in a particular activity group, to be deleted all at once. This feature is particularly helpful if a user leaves your employment and you want to delete all notifications/assignments to that user. To do so, select the activity group and notification user and then click Delete.
