Site Audit Asset Verification

This is page is designed for performing an asset verification audit on site, allowing technicians to verify assets present on the site in person.

The page opens by default to the list of Not verified assets for the site. Once you have verified an asset, it moves to the Verified list.

Each of these lists gives the following information for each asset listed:

  • Asset number

  • Department

  • Asset type

  • Manufacturer

  • Category

  • Audit Action (Verified list only): Indicates the action that placed the asset in the Verified list, such as Verified at site

Options for not verified list

The options for the Not verified list make it easy to navigate through a site and verify the presence of assets as you go.

ClosedVerify assets or mark assets as not found

  1. Select an asset using the toggle in the far left column.

    You can select as many assets as you would like before taking action on them.

  2. Click Verify to verify an asset's presence on site or Not Found if it not on site.

    The Verify and Not Found actions apply to all selected assets. Both actions also move all selected assets to the Verified list, where the Audit Action column indicates the action taken for the asset on site.

If you come to an asset that is not listed on the page, click Add New Asset to create a new asset in the system and verify its presence on site.

ClosedScan or search barcodes for assets on site

As you navigate through a site, you can scan or search barcode numbers for assets as you come to them, greatly simplifying the process of locating assets on the page to take action on them.

  1. Click Scan/Search.

    The Scan / Search Barcode dialog opens.

  2. Either enter the barcode number and click the magnifying glass search button or click the barcode scan button to open the camera on your device and scan the barcode.

If the barcode matches an asset on the site, asset details open with a message indicating this.

  1. Click Verify Asset to verify the asset's presence on site, Edit Asset to make changes to the asset details before verifying, or Skip Verification to exit the window.

    Verifying the asset moves it to the Verified list.

If the barcode matches an asset that is associated with a different site, asset details open with a message indicating this.

  1. Click Transfer asset to this site to move the asset to this site in the system and verify its presence at this site, Edit Asset to make changes to the asset details before verifying, or Skip Verification to exit the window and leave the asset at its current location in the system.

    Transferring the asset moves it to the Verified list, changes its location in the system, and creates an asset transfer history event and an asset audit history verification event for the current date.

If the barcode matches an inactive asset, asset details open with a message indicating this.

  1. Click Activate Asset to bring the asset back in service and verify it, Edit Asset to make changes to the asset details before verifying, or Skip Verification to exit the window and leave the asset inactive.

    Activating the asset moves it to the Verified list and creates an asset audit history event for its being reactivated and an asset audit history verification event for the current date.

    If the asset details indicate it is at adifferent site than the one you are auditing, be sure to edit the asset to change its location in the system.

If the barcode does not match an asset in the system, click Add New Asset on the Asset Verification page to create a new asset in the system and verify its presence on site. The Add New Asset button is available on the both the Not Verified andVerified pages.

ClosedConfigure/order columns and filters to find assets

The following options are especially helpful if you are not searching or scanning barcodes to perform the asset verification audit.

  • Columns: Click to edit the columns shown on the Not Verified list; select or clear the column options in the menu

  • Filter: Click to enter search values for each column to filter assets shown in the Not Verified list

Click a column header to order assets shown alphanumerically by the selected column. Click a column header twice to show assets by that column in reverse alphanumeric order. Click additional column headers to have secondary or tertiary orderings. For example, you can have the list ordered primarily by department and secondarily by asset number, making it easier to work through the list of assets listed if they are arranged in a similar order on site. Click a column header a third time to no longer order the list by that column.

ClosedExport not verified list

To export the Not Verified list, at the bottom of the page select an option from the menu (Excel Document, Tab Delimited, or Comma Delimited), and click Export to export the list in the selected format.

Options for verified list

The Verified list shows all the assets verified during the site audit.

As on the Not Verified list, you can click Add New Asset to create a new asset in the system and verify its presence on site. This action adds the newly created asset to the Verified list.
