Create a Work Order

This page allows you to create a work order against an asset or category within a site in Mobile.

To create a work order, enter specific information regarding the asset and the problem experienced. Complete the following information:

  • Asset tag: Unique identifier for tracking the asset

  • Site: Sites associated to a particular user

  • Location: Asset location within the site

  • Category: This field auto-populates when you enter an asset tag

  • Subcategory: Once the category populates, select a subcategory

  • Asset type: Specifies the type of the asset in a more specific way. For example, hot water heater

  • Problem type: This is important as it affects how the work order is assigned and it's also used for reporting purposes

  • Priority: Priority for the work order, such as On next visit or Critical emergency

  • Problem description: Information about the asset's problem

  • Requested by: You can log a request on someone else's behalf

Once you enter all the information, click Create Work Order at the bottom left.

ClosedPossible duplicates

After selecting a Subcategory, Department, Floor level, or Space , potential duplicate work orders appear. We recommend reviewing them before creating a new work order.

Possible duplicates includes work orders created against the same asset within the last 183 days or completed in the last 30 days. Possible duplicates also lists work orders related to the same category and subcategory when they are in a status of:

  • No contractor
  • Pending provider notification
  • Alternate contractor
  • Pend accept
  • In progress
  • Assigned
  • Service incomplete
  • Service complete

Highlighting indicators

  • Not highlighted: Exact category and subcategory match

  • Yellow: Exact asset tag match

  • Red: Within the recall period

Click a work order in WO # to view details. Determine if the work order is a duplicate. If it is, don't create a new one. If not, complete the required information to create a new work order.

After clicking Create work order, a window confirms the creation, generates a unique number, and displays the Fix SLA and Response SLA, if applicable.

ClosedConfiguration and notes

  • Whether or not an asset tag is required to raise a work order is configurable by client
  • Problem type associations are available as a way to build exceptions to sub-category level associations
  • The Requested by field can be auto-populated with the logged in users name or left blank
  • Account codes populate at the category or sub-category level
  • The ability to dispatch to alternate contractors is configurable by role
  • The number of sites you have access to depend on the roster on which the user sits and any securable attributes or filters they have turned on
  • Behavior of the work order after creation can be controlled by auto-dispatch rules
  • Work orders are dispatched depending on the contact method of the service provider

ClosedQuick create work orders

Create a work order with just one click on a tile in Mobile, speeding up work order logging in fast paced environments and ensuring consistent logging of similar work.

Configuration

A system admin can configure the tile by setting default values for the work order fields in AdminQuick create work orders.

The fields in Quick create work orders include:

  • Name: The name for the quick-create work order. It's the same that appears on the Mobile Dashboard tile

  • Description: A brief description to help identify the work order

  • Status: Set the default status as active or inactive

  • Upload document required: Specifies if a document is necessary to complete work order creation

  • Use work order scripts: Choose whether to display relevant work order script fields on the form

  • Assigned provider: Decide if a service provider should be specified or if the preferred provider auto-populates based on the work order values

  • Contractor: Select a service provider from the available options

Create work order form values can be optional or required based on client configuration. Field type options include:

  • Default: Pre-populates the selected value
  • Locked: Prevents changes by setting the field value permanently
  • Empty: The field is empty and requires input before creating the work order

Available for roles allows you to associate roles to the client. If no roles are selected, the Quick-Create Work Order is available to all roles associated to the client.

Add a quick-create tile in Mobile

  1. Click + on the upper menu of the Verisae Mobile Dashboard.

    Add tile window opens.

  2. Click Action.

  3. In the Action type section, on Action, select Quick create work order.

  4. Choose an active quick-create work order option from the list.

  5. Click Submit.
