PPM Sites

Define specific sites where the Planned Preventative Maintenance (PPM) schedule applies in the Sites tab in PPM Builder. Add, update, or remove site information to ensure maintenance tasks occur at the right locations and on time. Assign sites to your PPM plan to ensure each one receives the necessary maintenance, helping reduce downtime and keep operations running smoothly. You can also modify or remove sites as needed to keep the PPM schedule accurate.

Add sites

Add locations to the PPM schedule to ensure the performance of maintenance tasks.

  1. On the Sites tab, click Add sites.

  2. Select the sites.

  3. Click Select sites.

  4. In the Update site values window, complete:

    • Service provider

    • Contract reference #: Contract number for the PPM schedule at the site.

    • Open to status: Default status for when the PPM generates work orders:

      • Assigned: The work order is automatically assigned to the provider without requiring further action. We recommend you select Assigned to avoid requiring manual provider acceptance.
      • Pending provider notification: The work order generates but requires notifying the provider before they can act on it.

      • Pending acceptance: The provider must manually accept the work order before proceeding. This adds an approval step before work begins.

    • Start date: Start date for this PPM schedule at the site. Changing the Start date updates the Next run date for PPM generation.

      We recommend that you set the site start date after the PPM start date, so the PPM correctly generates.

    • Per site amount: Automated cost per site.

  5. Click Save.

View site information

View details related to each site to track PPM status and ensure work is correctly scheduled.

The smart table displays the following:

  • Site name

  • Provider name

  • Site description

  • Organization

  • Location:

  • Start date: Start date of the PPM schedule at the site.

  • Next run date: Next scheduled date for PPM generation

  • Last run date: Last time the PPM was generated for this site.

Remove sites

Removing sites from the PPM schedule ensures the plan stays up to date, especially when locations are no longer part of the project.

  1. On the Sites tab, select one or more sites to remove.

  2. Click Remove sites.

Update site values

Modify contract details for a site, including the Start date and Next run date.

  • Update a single site: Click the Site name in the smart table. On Update site values, enter or select new values.

  • Update multiple sites: Select the sites and click Update site values. Enter or select new values. Fields left blank remain unchanged.

Import site values

The Import option allows you add site values to the PPM via the import tool.

Manually generate PPM work order

Click Run now to create a PPM work order immediately instead of waiting for the scheduled generation. This is useful for urgent maintenance needs or missed work orders.

  • Run now is only available if all contracts associated with the sites are in the Published status.

  • Run now doesn't update the next run date. It creates an extra PPM when needed.

  • If the Next run date is in the past, the system doesn't create a PPM until you update it to a future date.
