Service Events

Service Events are employed for clients that have chosen to integrate their third party work order management solution with Enterprise Refrigerant Manager (ERM). Service Events are created in vx Suite when a third party work order management system sends a request for refrigerant service reporting.

Go to ERM > Service Events.

Upon selecting the Service Events quick link, all of the service events outstanding will appear in a table with the following information:

Column Description
Client PO Work order (or purchase order) number assigned to the service provider
Client WO Work order (or purchase order) number assigned to the service provider
Site Client location (a store number, typically) against which the service event was created
Description Description of the site
Location Geographic location of the site against which the service event was created
Category Category of service against which the service event was created (will only be refrigeration or HVAC)
Date Opened Date on which the service event was created in ERM

Only outstanding service events will appear in this list. If the service provider has completed the work order (or purchase order) and clicked the "Event Complete" button on the service event summary screen, the event will be marked as "Complete" and will not appear in this list. You will not be able to reference back to completed service events in the vx Suite application.

After selecting a service event, a summary screen will appear. If you have previously recorded any refrigerant usage events for the service event, they will appear in a reference table for the service event with the following information listed:

Column Description
Refrigerant Usage Event # Unique six-digit number generated from the vx Suite application after a refrigerant usage event is recorded
System The refrigeration/HVAC System in the database against which the refrigerant usage event was recorded
Service Date Date when the technician was present at the site
Date Entered Date the refrigerant usage event was recorded in ERM

Once a service event has been opened, users have two button options:

  • Record Refrigerant Usage: To be completed for every system/asset for which refrigerant was handled during the work order (or purchase order)
  • Event Complete: Once the event has been completed and all refrigerant usage events have been recorded for the work order (or purchase order), if applicable, users can complete the service event by selecting the "Event Complete" button

Once the event has been completed, users can complete the service event by selecting the "Event Complete" button. After the "Event Complete" button has been selected, the user is required to enter a Fault Code and Action Code to describe the service.

  • The fault code describes what was wrong with the system
  • The action code describes the corrective action that was taken

If you have completed the service event by accident and still need to record a refrigerant usage event for the service event, you will need to log into ERM and record a new event from the quick links section of the application.

Recording an event without opening a service event should only be done if you have completed a service event by accident and you must indicate the work order (or purchase order) in the Service Reference # field on the Record New Event screen.

Follow these steps to complete a service event where refrigerant was not used:

  1. Log into vx Suite's ERM Portal.
  2. Click the Service Events quick link.
  3. Click the service event that you are ready to complete, and the service event summary screen will appear.
  4. Select the Event Complete button.
  5. A confirmation pop-up will appear requiring the user to record the Fault Code and Action Code.
  6. Once entered, select the Save button to complete the event.
  7. The service event you just completed will no longer appear on the list of service events.
  8. The work order (or purchase order) will be updated as complete and will be ready to continue the work order lifecycle.
Completing a Service Event in which the service technician handled refrigerant

If the service technician handled refrigerant to complete the service, a refrigerant usage event will need to be recorded before the service event is complete.

Recording an event without opening a service event should only be done if you have completed a service event by accident and you must indicate the Maximo purchase order in the Service Reference # field on the Record New Event screen.

Important! Multiple refrigerant usage events may need to be recorded for one service event, if the service technician needed to visit the site twice and handle refrigerant both times, two events would need to be entered before the service event is ready for completion. If the service technician handled refrigerant on more than one piece of equipment containing refrigerant while working on the same work order (or purchase order), one event needs to be recorded for EACH system touched.

Complete a service event where refrigerant was used:

  1. Log into vx Suite's ERM Portal.
  2. Click the Service Events quick link.
  3. Click the service event that you are ready to complete.
  4. The service event summary screen will appear.
  5. Select the Record Refrigerant Usage button.
  6. Complete the details about the refrigerant usage event into the Record New Event screen.
  7. For complete details on recording refrigerant usage events, click here for Recording Refrigerant Usage Events.
  8. Select Save.
  9. A confirm details screen will appear for you to review the information that was entered.
  10. If you need to make changes, select Edit; if you do not need to make changes, select Done.
  11. A unique six-digit refrigerant usage event reference number will appear.
  12. Select the OK button.
  13. You will be returned back to the service event summary screen.
  14. The refrigerant usage event that was recorded will appear on the summary screen.
  15. Record any additional refrigerant events for the service event (i.e., multiple systems worked on, multiple trips needed).
  16. Once you have recorded all necessary refrigerant usage events, select the Event Complete button.
  17. A confirmation will appear that you are about to complete the event, select the Save button.
  18. The service event you just completed will no longer appear on the list of service events.
  19. The work order (or purchase order) will be updated as complete and will be ready to continue the work order lifecycle.
