Create a Requisition from a Material-on-the-Fly Issue

If you create a material issue from a material-on-the-fly, you can also create a requisition from the issued material-on-the-fly.

Note:

Requirements for this feature:

  • The Purchasing add-on module must be in use on the version of TMS you're using.

  • These Materials module options (Setup > Materials > Options) must be enabled:

  • Prompt to Create a New Material for Materials on the Fly (Line Items)

  • Show X12-850 Fields on Material Issue

  • This Work Order module options (Setup > Work Orders > Options) must be enabled:

  • Create Requisitions Instead of Purchase Orders from Material Issues
  • You need to know the Catalog value from the material's vendor, or some other identification value in order to create a requisition for the material.

To create the material issue from a material-on-the-fly, follow these steps:

  1. Open the work order to which you want to issue the material in Work Order Edit.

  2. Select the Materials tab.

  3. In the Material Issues grid, click the New Material Issue button.

  4. In the Material Issue window, skip the Warehouse and Issue Item fields.

  5. In the Description field, enter a description of the material you want to issue.

  6. Tab or click off of the Description field.

  7. A confirmation pop-up window opens. In the pop-up window, select Material on the Fly.

  8. Enter a Quantity for the material issue.

  9. In the Billable drop-down menu, indicate whether the material is billable (Yes or No).

  10. Enter an Average Cost value for the material. The Total Cost field will populate automatically.

  11. If there is a procedure or procedures associated with the work order, click the drop-down menu for Procedure and select the procedure you want to associate with the material.

  12. The Account field will populate with the account on the work order. If you want to change the account, click the drop-down menu and select a new account.

  13. The Date Issued and Date Issued Time will populate with the current date and time. Both of these fields can be changed to indicate the actual time the material issue took place.

  14. Enter any additional information you need to on the Main and Charge To tabs.

  15. If the Show X12-850 fields on Material Issue option is enabled, see the Use the X12-850 Fields section below for more information.

  16. Enter any comments for the material on the Comments tab.

  17. Click Save, or click Another to save this material issue and create an additional one.

To create the requisition from the material-on-the-fly issued to the work order, follow these steps:

  1. Select the material-on-the-fly issue in the Material Issues grid.

  2. Click the Generate PO/Req - Item button at the top of the grid.

  3. The requisition number that was generated appears in a pop-up window. Click OK to close the window.

Use the X12-850 Data Fields

If the Show X12-850 fields on Material Issue option is enabled, the fields on the X12-850 Data tab are required in order to save a material issue.

Also note:

  • Catalog populates from the Material's preferred Vendor, when it exists. Nothing is populated when that doesn't exist.

  • Catalog is updated when the Vendor is changed.

To fill in the X12-850 information, follow these steps:

  1. Select the X12-850 Data tab.

  2. When a vendor is loaded after the user selects a material, TMS searches for the preferred vendor for the X12-850 Data tab. The preferred vendor populates the Vendor field. The Material Issue Catalog Number is populated with Material Vendor Catalog Number. If there is no preferred vendor on the material, enter a valid Vendor ID in the Vendor field, or use the Lookup button to search for and select the material's vendor.

  3. The Material Issue Catalog Number is populated with Material Vendor Catalog Number, if there is a preferred vendor. If there is no preferred vendor, or if you want to use a different Catalog number, enter a valid catalog number into the field.

  4. Select the Unit of Measure for this material from the UOM drop-down menu.
