Assign the Auto Print Status to a PDF Document

There might be times when you want a PDF document that is tied to a work order, or to the asset, the asset's model number, or a work order procedure, to automatically print whenever the work order record is printed (for example, if you used Document Upload to tie a PDF diagram to an asset record for a Trane-brand air conditioner, and you want that diagram to print whenever a work order associated with that asset is printed via the TMS AutoPrint feature).

To set up auto-printing, follow these steps:

  1. Using the example above, retrieve the Trane asset with Asset Edit or search for it with Asset Query.

  2. On the Asset Edit screen, click the Document Upload button in the toolbar.

  3. Click the Asset button in the Document List pop-up window.

  4. On the Document Manager screen, click the Edit button next to the PDF.

If you haven't uploaded the PDF yet, click New Document and then upload the PDF.

  5. In the Status field, select the Auto Print (PDF Only) entry.

  6. Click Save.

  7. Close the Document Manager.

Now, any work order to which this asset is tied will have this PDF document tied to it as well. And, because you set the PDF's status to "Auto Print", the next time the associated work order is generated and printed with the AutoPrint feature, the PDF will also be printed.

You can use this same basic procedure to set up automatic document printing for PDFs tied to a PM schedule, an asset model number, or a procedure, as well as PDFs uploaded directly to a work order.

Only work orders in segments where AutoPrint is configured and enabled will have their attached documents printed.
