Configure TMS Menu and Screen Permissions

Use Permissions to set security permissions for different user groups and segments in TMS.  View Permissions in a tree structure.  If you want to change permissions on a user group or segment, drill down to the appropriate menu item in the tree view, click it, and select from a set of four option buttons: Admin, Full Access, Read-Only, or No Access.

The screen shot below shows the Permissions tree expanded for the example group Biomed Users.

  • Admin means any user who belongs to that group has administrative permission to that screen. Admin access is only available in certain sections of the application like the Asset Edit screen.  Notice the access level is indicated in parentheses as you make changes.  Admin access is Full Access and the ability to update an item number (for example, Asset Number).

  • Full Access means any user who belongs to that group has full permission to that screen.  Full Access is the ability to perform any action inside a screen.

  • Read-Only means any user who belongs to that group has read only permission to that screen. Read Only access is view only access to screen.

  • No Access means any user who belongs to that group has no access to that screen.  You will get an error message if you do not have access to a screen and you try to access that.

Clicking the Reset All button will reset all of the permissions on this screen, for the selected Group to Full Access.

Duplicate Permissions

To duplicate a set of permissions from one group to another, follow these steps.

  1. Navigate to the Permissions screen (Setup > Security > Permissions).

  2. Click the Duplicate button in the toolbar.

  3. In the Permission Duplicate pop-up window, under Copy From, select the Segment in which the Group whose permission you are copying resides.

  4. Select the Group whose permissions you want to copy from the Group drop-down menu.

  5. Under Copy To, select the Segment in which the Group you are copying the permissions to resides.

  6. Select the Group you want to have the duplicated permissions.

  7. Click OK to save this set of duplicated permissions, or Another to save this pair and start the process again.

Permissions Summary

The Summary button on the Permissions screen shows you a summary of all permissions for the Group currently selected on the screen. Select a user group from the Group drop-down menu and then click the Summary button. A Permissions Summary window appears, which you can scroll through.

Some notes about Permissions

  • There is no Read-Only on New screens.

  • There is no Admin on non-user defined item number screens.

  • There is no Admin on New or Query.

  • If Full Access is given to create, then at least Read-Only is required to edit.

  • If Full Access or Read-Only is given to query, then at least Read-Only is required to edit.

  • If a parent is set to No Access, then all children items must be No Access.

  • If a parent is set to Read-Only, then all children must be Read-Only or No Access.

  • If a parent is set Full Access, then all children must be Read-Only, Full Access or No Access.

  • Admin is not allowed at folder level, only on edit screens.

  • Admin gives you the ability to change Codes.  For example, if you want to change an Asset Number from AHU-01 to AHU-001, you need Admin permissions to change it.

Special Notes About Permissions for the Work Orders Module

All users are taken to the Work Order New screen upon logging into TMS. If you set a user group's permissions for the Work Order New screen or multiple Work Orders module screens to No Access, the login procedure for the users in that user group will be handled in the following ways:

  • If the user doesn't have access to Work Order New, TMS will open in Work Order Query.

  • If the user doesn't have access to Work Order New or Work Order Query, TMS will open to the Work Order Edit dialog box.

  • If the user doesn't have access to Work Order New, Work Order Query, or Work Order Edit, the user is shown a No Access message box with a blank screen behind it. Once the user clicks OK on the message box, they can use the menu bar to navigate to any of the other screens they have access to.

Apply Permissions

You set permissions for a screen at the Group level.  If a User belongs to the Group they inherit the permissions for the Group.

  1. From the Setup menu, go to Security > Permissions.

  2. From the Group drop-down menu, select your group.

    In the Permissions area, you can see the current permissions.

  3.  Click the arrow next to the Root level to expand the tree view.

  4. Select an item in the tree to change the permissions.

  5. Change the permission by selecting one of the options under Settings.

  6. Click Save.

Expand, Collapse, and Reset All

Use the Expand All button to expand all items in the tree view.

Use the Collapse All button to collapse all items in the tree view.

Use the Reset All button to return the selected user group's to Full Access for all modules and screens.
