PE Schedule (TMS Enterprise) - Main Tab

On the PE Schedule (TMS Enterprise) standard form, there are two tabs available for PE schedule creation: the Main tab and the Details tab. There are additional tabs available for editing.

The Last Completed and Last Generated fields show when the PE work order was last completed and the previous Next Due Date for the PE schedule.

If a PE work order was completed on 3/20/2008 and set to Completed - Changes Allowed, then on 6/1/2008 it is changed to Closed - No Changes Allowed, the Last Completed field is updated for 6/1/2008. This is the work order status date and not the time charge or completion date.

There are two PE Schedule Types:

  • Active – if the PE due date or next due meter reading falls within the range established in automatic PE generation setup, TMS automatically generates your PE work orders.
  • Unscheduled (On-Demand) – you can generate a PE work order by using Manual PM/PE Generation. Unscheduled PE schedules will not generate by Automatic PM Generation. These PE schedules should be created for planned events that occur on an as-needed basis.

Work Order Defaults

The defaults that you set in this section determine the codes the PE work order will be created with when this PE schedule is generated.

Priority Urgency This field is the urgency level of the work order. TMS includes six priorities from Urgent to Project. Setup > Work Orders > Codes
Status and Sub Status N/A The Status/Sub Status combination tells you where a work order is in the cycle from when it is created to when it is closed or completed. Setup > Work Orders > Codes
Skill Trade This field indicates whether the required person is an electrician, mechanic, plumber, or other skilled worker. Setup > Resources > Codes
Email Requester Email This field contains the email address that corresponds to the Requester Email field in the Work Orders module. During PE generation, the email address you enter here populates the Requester Email on the generated work orders. N/A

This is the next date that the PE schedule is due.

End Date N/A If there is a clear end date or time for the planned event. enter it here. See About the End Date Field for more information.
Frequency N/A

This field indicates how often the schedule will generate. If you select certain values, additional fields appear:

  • Annual – Enter a value for the Years field that indicates how often the schedule will generate, for example 2 = every 2 years.

  • Days Interval – Enter a value for the Days field.

  • Floating Date – Enter a value for the Week and Day fields.

Location

This field is the top level of the location hierarchy. Organizations use this field to indicate the different locations they service that are located in different geographic areas, for example: University Hospital, North Hospital, and Medical Offices. Each site has different buildings associated with it.

Building N/A This field is the second level of the location hierarchy; each building is associated with a site. Sites can contain several physical buildings, for example: the University Hospital site may have an East and a West building. Setup > Assets > Codes

This field is the third level of the location hierarchy; each location is associated with a building. Location usually indicates floors within a building.

Location Description Location Desc. This is a free text field you can use to enter a more exact location of where the maintenance needs to be performed or where an asset is located. For example, you could enter the room number of the location. N/A

About the End Date Field

The End Date field is used to define by when the current instance of the event (a PE work order) is to be completed. For example, if a fire drill should be scheduled each quarter to start on Thursday, 1/22/2011 at 1:30 PM and last for 10 minutes, the end date would equal Thursday, 1/22/2011 at 1:40 PM.

In this example, the Next Due Date and time is placed into the PE work order's Date Available field, along with a time, if specified. The End Date and time is placed into the PE work order's Date Needed field, along with a time, if specified. Both are advanced on generation: the next due date/time would go to 4/22/2011 at 1:30 PM and the End Time would go to 4/22/2011 at 1:40 PM. This will go on until the PE's Type is set to Unscheduled.
