Create a New Resource

A resource is any entity (usually a person, internal or external staff) who you want to track labor expenditures for. If a person is doing maintenance for you, then use the Resources module to record their work.

To create a new resource, follow these steps:

  1. From the Modules menu, select Resources > New.

  2. In the Resource Number field, enter a unique ID for the resource.

    For internal resources, the resource number is usually either their initials or their employee ID. For your outside resources like vendors or contractors, this is usually the ID assigned by your purchasing department or a contraction of the company name.

  3. In the First Name and Last Name fields, enter the name of the resource.

    You can sort your external resources to the end of the resource listing by adding characters to the beginning of the field. For example, preceding all external resources with "z-" sorts them to the bottom of the resource listing throughout TMS.

  4. From the Type drop-down menu, select the appropriate type.

  5. From the Account/Department drop-down menu, select the appropriate account.

  6. From the Status drop-down menu, select the appropriate status of the resource.

    Changing the status to Inactive removes the resource from all resource drop-down menus.

  7. From the Skill/Trade drop-down menu, select the skill of the resource.

    The skill is the knowledge, specialty, or craft of the resource. These skills are also used to determine the skills required to perform work order maintenance, operate assets, and perform preventive maintenance requirements. Some common skill codes and descriptions are:

  8. Click Save.

    Your new resource is now part of the TMS database, and the Resource Edit page opens. You should see the unique Resource Number in the upper-left corner of the page.
