Configure General Options

The options shown on the General Options Setup screen can be enabled at the Segment level or the Group level. Follow these steps and then enable the appropriate options (described below) to configure the TMS system so that it meets the needs of your organization.

In TMS, navigate to Setup > General > Options.
Remember to click Save after you make any changes to this screen so that your changes are applied.
General
In the General area there are check boxes next to the TMS general module option. Check the appropriate option and click Save to apply the option in the application. The grid below contains the option and a description of the option.

Allow Deletes | Show the Delete button on Setup screens and Edit screens. |
Allow Edit of Total Cost in Material Issues and Time Charges | Allows users to edit the Total Cost field in the Material Issue screen and the Cost field in the Time Charge dialog box of the Resource Time Charges screen. |
Allows default field values you established on a form in Query mode to show when the form is used on a Query screen. (The default values are hidden if this option is not checked.) | |
Enable Manufacturer Validation | Validates the manufacturer in the TMS database. When you add a Manufacturer on an Asset record, the entry must match a valid Manufacturer vendor in the database. |
Enable Module Logging | Turns on logging of actions within the Work Orders, Assets, Procedures and Schedules (both PMs and PEs) modules. See below for more information on module logging. |
Populate Site, Building, and Location fields from Location Description | Allows the user to enter a partial Location Description or wildcard criteria. When the user tabs off the field, if the Location Description is not unique, a child window displays all Site, Building, or Location codes that match the criteria. |
Prompt User for Group | Because users might belong to multiple user groups (each with different permissions, codes) with this option enabled, the user is prompted to select a group to sign into upon login, if they have access to two or more groups. |
Show Account Code Input Field | Enables the text field above the Account drop-down menu for users to manually enter the account code. |
Show Billable Field | View Billable field in the Material Issue screen and Work Order Quick Close screen. |
Show Contracts in Material Issues and Time Charges | Enables the Contracts fields for input in the Material Issues and Time Charges screens (must be using the Contracts add-on module). |
Show Report Preview on Quick Print | Allows you to preview the report when you click the Quick Print button. If this is unchecked, TMS opens the Print dialog when you click Quick Print instead. |
Show Vendor Model Numbers | Turns on the Models tab for those vendors who are designated as manufacturers (Manufacturer is checked in the Vendor record). |
Module Logging
Once Module Logging is enabled, TMS stores the current contents of records in the following modules to the TMS database:
Work Orders
Assets
Procedures
Schedules (PM or PE)
When you click the History button in the toolbar in any of these modules, the Logging History screen opens. This screen shows all changes made to the selected record since logging was enabled.
Drop-Down Menu Options
Three options address the way TMS formats and sorts drop-down menus:
- Drop Down Format - Four ways to format data in your drop-down menus: Code – Description (TMS default), Description (iTMS), Code, and Description – Code.
- Drop Down Sort Field - Select which column the data in the drop-down menu is sorted by. You have two options: Description (default) and Code.
- Drop Down Sort Order – Sort the drop-down menus in Ascending or Descending order.
Time Zone
The Time Zone drop-down menu supports multiple time zones. By default, the Time Zone is the same time zone in which the TMS server resides. You can set the time zone for any segment, but you cannot set a time zone for a group. There is no need for you to adjust anything else related to time zones in the application. TMS adjusts all date fields to take the time zone selection into account.
- From the Setup menu, go to General > Options.
From the Options menu, you must select Segment. If you select Group here, then the Time Zone drop-down menu becomes unavailable or grayed out.
Complete the remaining fields.
From the Time Zone drop-down menu, select a time zone.
Startup Module Options
With the Startup Module Options section of the General Options Setup screen, you can specify what module and module screen your users see when they log into TMS. This option can be set for a whole segment or just a user group within the segment.
- From the Setup menu, go to General > Options.
Under Startup Module Options, select a module in which your users should start from in the Module drop-down menu.
Then, select the screen in the selected module that your users should see upon logging into TMS. Keep in mind that any users that do not have access to this screen will see an "access denied" message on the screen when they log in. This will not prevent them from selecting a different screen from any menu in the menu bar to which they have access, however.
Click Save.
If you selected Segment in the steps above, select whether you want to override all users and groups (meaning that any module screen your users set up in the User Preferences feature will be overwritten), or if you want the module and module screen you selected to only apply to the segment and any users that have not set up their own preferences.
If you click the Home toolbar button while in a module other than the one set up here, you will be taken back to the selected Startup Module.
Numeric Formatting Options
In the Numeric Formatting Options area, you can format how decimals are applied to numeric values throughout the TMS application. There are two types of formatting available: Decimal Format for general formatting and Currency Format for currency values.
Click in the field related to the type of numeric values you want to format.
Enter the formatting you want to see. The "sample" to the right changes depending on your entry into the field.
Click Save.
If you selected Segment in the steps above, select whether you want to override all users and groups, or if you want the formatting you selected to only apply to the current segment and not override any previous preferences that were established.
Formatting Tips
You can use pound signs, or hash marks, (#) to specify the decimal format. For example:
# - This tells TMS that you do not want to allow decimal places.
.### - This tells TMS that you want to allow up to three decimal places.
You can enter a dollar sign ($) at the beginning of your entry to indicate you want a dollar sign to precede the numeric value. For example, $.### tells TMS that you want a dollar sign and up to three decimal places.
You can use "n" and "c" to indicate that you want TMS to insert a comma when numeric values reach the thousands. Adding a number after this indicates how many decimal places you want to allow. For example:
n0 or c0 - Tells TMS that you want a comma for values in the thousands, but you don't want to allow decimal places.
n3 or c3 - Tells TMS that you want a comma for values in the thousands and up to three decimal places.
Just n or c - Tells TMS that you want a comma for values in the thousands and the default of two decimal places.
Grid Options
This section allows you to set the number of rows of records to display on child window grids and query results grids. Two fields are available:
Records to display in query results grids
Records to display in child grids
The values in these fields can be between 10 and 100.
