Introduction to Document Upload

Use the Document Upload utility to upload documents and hyperlinks to your server and have the document or the link associated with a record in a module.  Examples of documents that you might want to upload include: manuals, drawings, and schematics.

The Document Upload button on the toolbar in the Edit screens for the Work Order, Asset, Materials, Purchasing, Resources, Vendors, Contracts, and Procedure screens opens the Document Manager screen.  In the Document Manager screen, a user with the appropriate permissions can upload documents, delete documents, and view documents.

The Document Upload icon on the tool bar changes to reflect that a document is attached to a record. If a document is available for a related item (for example, procedure, asset, vendor) on a record the Document Upload button changes.

Document Upload has a file size limit of 400MB.  You can upload as many documents to a single record (asset, work order) as you want.  You'll have to make sure that your server has enough room to store all of the documents you want to upload.

TMS can't provide the viewers that you need to look at the documents.  It's your responsibility to have the browser plug-ins or applications necessary to open uploaded documents.

Document Upload set up takes place in the General module options, found on the Setup menu, in General > Options.

Where Files Are Kept

By default, files uploaded to Document Upload are located in the following folder: [Main Drive]:\ProgramData\FRSoft\Document Upload [TMS version]\. In this file path, "[TMS version]" equals the version number of TMS that you are running. For example:

  • If you're running TMS OnSite 2013.5.5, the Document Upload folder is named "Document Upload 1355".

  • If you're running TMS OnSite 2014.5.6, the Document Upload folder is named "Document Upload 1456".

This folder is created automatically during TMS's installation process. Within this folder, sub folders are created for the database\server\TMS module\uploaded documents. The default folder where the "Document Upload" folder is placed can be changed on the General Settings tab of the TMS Control Panel.
