Custom Field Use Cases

The following are some cases for when you might want to create a custom field:

  • You want to increase the hierarchy of your Location field group so that you have Campus, Building, Wing, Floor, Room, and Bed. One way to achieve this is to set the labels for the Site, Building, and Location system fields to be Campus, Building, and Wing and then create additional drop-down menu for Floor, Room, and Bed.

  • If you want your technicians to answer specific questions and input their answer on each work order (such as "Did you put the equipment back into service and notify the user?" or "Will construction compromise smoke of fire walls, doors, ceilings or smoke dampers?"), you can create a field with the question as the field's Description (which functions as the field's label) and a drop-down menu with set answer values, such as Yes and No.

  • If you have Facilities or Environmental Services users who want to track a floor's type at more than one level, you can create two drop-down menus — one called Floor Type, and one called Floor Sub Type, which is tied to the Floor Type drop-down menu. Then, create codes to populate the Floor Type drop-down menu, such as Carpet and Tile. Lastly, create codes to populate the Floor Sub Type drop-down menu, such as Berber and Plush for the Carpet code, and Vinyl and Ceramic for the Tile code.

  • If you want to be able to identify an asset as the legal entity of an LLC or JV, you can create a drop-down menus and codes for LLC and JV.

  • If you want the ability to dictate exactly what type of value is entered into a field — for example, xxxxx-xxxx for a nine-digit zip code — you can apply a mask to a custom field.
