Set Up TMS for Refrigerant Tracking
Before you begin to use TMS to track refrigeration, you have to complete some initial setup in the application. You will need to enable specific options, create new codes, create new user defined field labels, create new assets, and create new vendors. Setting up TMS for refrigerant tracking is a seven step process. It’s important that you complete the items in the order that we’ve provided. Begin by doing all of the work in the Setup menu first. Follow these steps.

Enable the Show Vendor Model Numbers option.

Add a user defined field label.

Add a Procedure Type code for Refrigerant Tracking.

Verify vendor for refrigeration and air-conditioning equipment.

Verify the Model Number field is present.

Inventory refrigeration and air-conditioning equipment.

Create a Refrigerant Tracking procedure and sub procedure.
When you’ve completed setting up TMS for refrigerant tracking, it’s time to create and process work orders that document regular inspections for refrigerant leaks. Regular inspections will reveal if a device has a refrigerant leak, and just how severe that leak is.

Enable Show Vendor Model Numbers
Enable the General Setup Manufacturer option Show Vendor Model Numbers. Follow these steps.

Setup > General > Options.

Under Manufacturer Options, select the check box next to Show Vendor Model Numbers.
When this option is selected, the Models tab for those vendors who are designated as manufacturers becomes visible. On the Main tab of the Vendor (TMS Enterprise) form, the Manufacturer box must be checked.

Click Save.
Add a User Defined Field Label
Next, add a User Defined Field Label called Refrigerant Type to the Assets module.

Setup> Assets > User Defined Field Labels.

In the Segmentlist, select the appropriate segment.
You need to select the segment that contains the refrigeration and air-conditioning equipment you plan to track.

In the Categorylist, select the appropriate Categorycode.
Just like when you selected the Segment, you need to select the Category code that contains the refrigeration and air-conditioning equipment you plan to track. Depending upon your organization, and how TMS is implemented, you might or might not need to select a Category code.

In the Sub Category list, select the appropriate Sub Category code.
You can have 10 user defined field labels per code. Just like when you selected the Segment, and Category, you need to select the Sub Category code that contains the refrigeration and air-conditioning equipment you plan to track. Depending upon your organization, and how TMS is implemented, you might or might not need to select a Sub Category code.

In one of the Asset UDF Label fields, enter Refrigerant Type.
This field will be used in reporting to identify the type of refrigerant used by a piece of equipment.

Click Save.
Add a Procedure Type Code for Refrigerant Tracking
Next, add a new Procedure Type code to the Proceduresmodule.

Setup > Procedures > Codes.

From the Segmentlist, select the appropriate segment.
You need to select the segment that contains the refrigeration and air-conditioning equipment you plan to track.

In the Code List, select Type Codes.

Click New Code.

In the Codespop-up window, enter REF as your new code.

Enter Refrigerant Tracking as the Description of the new code.

Click OK.
