Use TMS to Manage Projects
Create the Parent Project Summary Work Order
To create the Parent Project Summary Work Order, follow these steps.
-
In the TMS application, go to Work Orders > New.
-
In the Form drop-down menu, be sure to select the Capital Projects Work Order Form or its equivalent.
-
In the Type field, select CPR – Capital Projects. This is the Work Order Type Code that you created previously.
-
In the Capital Project ID field, enter the identification number of your project.
-
Complete all of the remaining required fields.
-
Complete any of the remaining optional fields as needed.
-
Click Save.
Approved Budget, Project Review Date, and Actual Start Date, Scheduled Completion Date, and Actual Completion Date do not appear on your work order until after you click Save.
This is the parent project work order. You’ll attach all of the child work orders to this work order.
Use Document Upload
Use the Document Upload feature to attach your CAD drawings, schematics, contractor invoices, architectural renderings, and any other pertinent documentation to the parent project work order.
-
In TMS, click Help > TMS Help. Internet Explorer should launch the TMS OnLine/OnSite System Administrator Guide in a new Internet Explorer window.
-
In the table of contents in the left pane, expand Document Upload.
-
Click the help topic, "Introduction to Document Upload" to begin reading about how to use Document Upload.
Add Child Work Orders to the Project Work Order
Child work orders are additional work orders for smaller projects within the larger project. We’ll assume that you are still in the Work Order – Edit screen for the project work order, and that you are still using the Capital Projects Work Order Form (or your equivalent). If you aren’t, then use the Work Order Edit or the Work Order Query feature to retrieve the parent project work order. Select the Capital Projects Work Order Form.
Child work orders cannot be added to work orders with a Type code of Preventive Maintenance or Planned Event. You can't add a child work order to a Closed, Completed, Pending, or Canceled work order.
-
Select the Project Components tab.
This is the tab that contains the Child Work Orders grid. If you do not have a tab that contains the Child Work Orders grid, then you’ll have to open your custom form in the Form Designer and add the grid.
-
In the Child WOs grid, click New Child Work Order.
The Work Order – New screen opens.
-
In the Type field, select CPR – Capital Projects.
-
Complete all of the required fields and any of the optional fields.
-
Click Save.
TMS does not automatically close the Work Order – Edit screen. The screen tells you that you are working on a child work order. If a work order is a child work order, then the title bar says "Child" and "Parent".
-
Close the child work order.
The child work order is added to the Project Components tab of the parent project work order.
Using the child work orders and the remaining tabs and grids on the Capital Projects Work Order Form, you can:
-
Track labor – Use the Time Charges grid on the Resources and Charges tab.
-
Track materials – Use the Material Issues grid on the Resources and Charges tab.
-
Identify lead resources – Use the Assignments grid on the Resources and Charges tab.
-
Upload notes and documents until each phase is completed – Use the Document Upload feature to attach trade or phase specific documents to their respective child work orders.
-
Track completion information for each phase – Use the Details and Complete tab.
Create as many child work orders as you need to track the various phases of your project. When all of the child work orders are complete, and your project is complete, complete the parent project work order.
