Utilize the Mobile Asset Tracking System

Now that you have completed the setup portion, you are ready to put the Mobile Asset Tracking business solution into use.

The Mobile Asset is ordered in Web Request

  • The asset's requester selects their name from a drop-down menu.

  • Department and contact information automatically fill in, once the Requester Name is selected.

  • The requester can enter remarks and specify the delivery location.

  • The requester completes the order by clicking the Save and Send button.

  • The mobile asset order details are sent to Central Supply/SPD.

The requester can search on the Web Request page later to see the progress on their order, as well as print the order out.

The Order is displayed in TMS

The information is transferred from Web Request to the main TMS application, and it can be viewed with the custom form you created. The Requester tab displays all of the information about the requester. The Asset Order tab displays all of the information about the order that Central Supply/SPD needs to process it.

Location information for the asset will either be updated by the ADT through the life cycle of the order or by asset survey rounds performed by CS/SPD personnel.

  • CS/SPD selects a mobile asset based upon the order and enters the mobile asset's information into the Asset field group on the form.

  • The Needed Before date and time can be filled in based upon the Priority code.

  • When the mobile asset is delivered, the Status and Sub Status of the order are changed to Mobile Asset Usage/InUse - Patient Room.

  • The Date Delivered is filled in with the date and time that the asset was delivered.

Mobile Asset locations are updated with TMS Anywhere Web SE

When asset survey rounds are performed by CS/SPD personnel, they can use the Asset Sweep function to select their sweep location, and either scan (if the device has a barcode scanner) or manually enter the numbers of the assets at that location. Any mobile assets will be included in the sweep, and their location will be updated in TMS.

Transfers of location for a mobile asset can either be handled automatically by the ADT, or CS/PSD personnel can update the location manually during rounds.

Discontinued assets are marked for pick-up

When an asset is discontinued, but the patient hasn't been discharged, Central Supply/SPD rounds will allow CS/SPD to locate the discontinued assets.

  • CS/SPD updates the Status/Sub Status of the order to Mobile Asset Discontinued/Pick Up for Cleaning.

  • If the asset is in short supply, the Priority code can be updated.

  • The Usage Location can be updated so that personnel knows where to pick up the asset.

  • CS/CSP is notified that the asset can be picked up.

If the Completion Date and time are entered at this stage, it will end the current utilization process.

Patient is discharged in the ADT system

If the patient is discharged in the ADT, the mobile asset order will automatically be updated in the following ways:

  • The Status/Sub Status will change to Completed/Patient Discharge.

  • The Completion Date and time are entered, ending the current utilization process.

  • CS/CSP is notified that the asset can be picked up.

Preparation for the next use

Once the order is set to a Status of Completed, either because the asset has been discontinued or the patient has been discharged, the utilization cycle is ended. The asset prep cycle is begun.

  • The asset order is duplicated with the Work Order Duplication Wizard.

  • The duplicate order's Status and Sub Status are set to Mobile Asset Discontinued/Pick Up for Cleaning.

  • The location of the asset is set to Dirty Equipment Room so that CS/SPD staff knows where to pick up the asset.

  • When the mobile asset is returned to Central Supply/SPD, the order Status/Sub Status is set to Mobile Asset Prep/Waiting for Cleaning.

  • When the cleaning process is complete, the order is set to Completed/Asset Prep - Completed.

  • The Completion Date and time are filled in.

This completes the cycle for the mobile asset.
