Document Locks and Keys
After you've created all of your necessary codes and the form you will use to enter and track your records, you can begin documenting the locks and keys for which your department is responsible.
Create a Lock Record
First, enter lock records. Go to Asset New (Assets > New) and enter a record with the following information:
Field | Value |

Asset Number | The number should start with "L-" to designate that this is a lock. Follow this with an identification that follows your organization's asset numbering scheme. |
Type | LOCK |
Status | ACTIVE |
Asset Description | Enter an appropriate description for this lock. |
Site/Building/Location | Enter the location for the lock. |
Enter values for the remaining required fields on this tab (marked with a red asterisk (*)). Save the record when you're done and then return to the Asset New screen.
Repeat the steps above for all necessary locks.
Create a Key Record
Now, enter key records. Return to Asset New and enter a record with the following information:

Asset Number | The number should start with "K-" to designate that this is a key. Follow this with an identification that follows your organization's asset numbering scheme. |
Type | KEY |
Status | ACTIVE |
Asset Description | Enter an appropriate description for this key. |
Site/Building/Location | Enter values for the storage location of this key when it is not checked-out. |
Enter values for the remaining required fields on this tab (marked with a red asterisk (*)). Save the record when you're done and then return to the Asset New screen.
Repeat the steps above for all necessary keys.
When you complete the process of entering lock and key records into TMS, you are ready to associate locks and keys with one another. Proceed to the Match Keys to Locks topic.
