Asset Codes

The content below has been updated to reflect functionality from the latest maintenance release. There may be differences in the functionality available to you, in the version of TMS you are using.
TMS comes with many default code choices for drop-down menus. For example, one Asset Type Code is B, or Biomed. You can define additional choices that appear in the drop-down menus.
To find an existing code quickly, use the Search box. Select a code type from the Code List and then type a code, description, or part of either into the Search box at the top of the code grid. (Wildcard criteria is supported with an * before, after, or around the criteria.)
Enter New Type Codes
To enter new type codes, follow these steps:
- From the Setup menu, go to Assets > Codes
- In the Segment list, select the appropriate segment
- In the Code List, select Type Codes

Click New Code
- You are presented with the Code Setup pop-up window
- Type in your new Code, Description, and the number of days to Escalate

Click Save, or click Another to add an additional code
Site, Building, and Location Code Hierarchy
There are three codes in the location hierarchy: Site, Building, and Location. There is also the Location Description field that TMS automatically completes when all three location fields are completed. Follow the steps below to enter new Site, Building, and Location codes in TMS.
Enter new Site Codes
To enter a new site code, follow these steps:

From the Setup menu, go to Assets > Codes.

In the Segment list, select the appropriate segment.

In the Code List, select Site Codes.

Click the New Code button. The Site Codes pop-up window opens.

Type in a new Code and Description for this site.

Click Save, or click Another to add an additional code.
Enter new Building Codes
To enter a new building code, follow these steps:

From the Setup menu, go to Assets > Codes.

In the Segment list, select the appropriate segment.

In the Code List, select Building Codes.

Click the New Code button. The Building Codes pop-up window opens.

From the Site list, select the site your building is a part of.

Type in a new Code and Description for this site.

Type in the Number of Beds. Number of Beds is an optional field that is used to help analyze utility usage in a building. Using the Number of Beds field and knowing the utilities cost of the building, you can breakdown utility cost of a building per bed.

Type in the Square Footage. Square Footage is an optional field that is used to help analyze utility usage in a building. Using the Square Footage field and knowing the utilities cost of the building, you can breakdown utility cost of a building per square foot. Number of Beds and Square Footage are included in the Building Code because, typically, utility meters are located in a building (not Site or Location).

Click Save, or click Another to add an additional code.
Enter new Location Codes
To enter a new location code, follow these steps:

From the Setup menu, go to Assets > Codes.

In the Segment list, select the appropriate segment.

In the Code List, select Location Codes.

Click the New Code button. The Location Codes pop-up window opens.

In the Site list, select the site this location is part of.

In the Building list, select the building this location is part of.

Type in a new Code and Description for this location.

In the Account list, you have the option to select an account to link to this Location code. If you select an account from the list, this account will automatically fill the Account field whenever this Location code is selected in the application.

Click Save, or click Anotherto add an additional code.
Enter New Health Impact Codes
Health Impact codes are tied to asset sub categories and can be tied to vendor model numbers.
To enter a new Health Impact code, follow these steps:

From the Setup menu, go to Assets > Codes.

From the Segment list, select the appropriate segment.

From the Code List, select Health Impact Codes.

Under List, click New Code. The Health Impact Codes pop-up window opens.

Type in a new Code and Description.
-
Click Save, or click Another to add an additional code.
Your new Health Impact Code is now available in the Asset Sub Category Codes pop-up window.
To view your new Health Impact Code, follow these steps:

From the Setup menu, go to Assets > Codes.

From the Segment list, select the appropriate segment.

From the Code List, select Sub Category Codes.
-
Under List, click New Code. The Sub Category Codes pop-up window opens.
Enter New Sub Category Codes
To enter a new sub category code, follow these steps:

From the Setup menu, go to Assets > Codes.

In the Segment list, select the appropriate segment.

In the Code List, select Sub Category Codes.

Click New Code. The Sub Category Codes pop-up window opens.

From the Category list, select the appropriate asset category.

Type in your new Code and Description.

Notice the Capital Planning Defaults fields: Health Impact, Life Expectancy, and Average Cost. These three fields are all related to capital planning (BCERP).

Health Impact - See above for instructions on how to add a new Health Impact. This value is used for Capital Planning functions.

Life Expectancy - The value you enter here is used as a default value when you create any new assets with this Sub Category. The Life Expectancy field appears on the Additional Info tab in Asset Edit and in the Model Number child window in Vendor Edit. This value is used for Capital Planning functions.

Apply to all assets button - When you click this button, TMS applies the Life Expectancy value to any asset with this Sub Category.

Average Cost - This value appears in the Asset Sub Category Codes pop-up window in Setup and also on the Model Number child window in Vendor Edit. This value is used for Capital Planning functions.

Click Save, or click Another to add an additional code.
Enter New Support Status Codes
Support Status Codes, like the Capital Planning Defaults fields, are related to capital planning (BCERP). The Support Status field appears on the Additional Info tab on the Asset Edit screen.
To enter a new support status code, follow these steps:

From the Setup menu, select Assets > Codes.

In the Segment list, select the appropriate segment.

In the Code List, select Support Status Codes.
-
Click New Code. The Type Codes pop-up window opens.

Type in your new Code and Description.
-
Click Save, or click Another to add an additional code.
Show in New/Edit and Show in Query
The Show in New/Edit and Show in Query check boxes allow you to have information in the database that does not appear in the drop-down menu. Check Show in New/Edit to have the code available in the New/Edit modules. Check Show in Query to have the code show in the Query modules.
Click Print to preview the list of codes in the Report Preview window.
Click Edit to open the Codes
pop-up window.
Click Delete to remove a code from the list.
Once a code has been used in the application, you cannot delete it.
