Assets Business Rules

When an asset is newly created, it is assigned a risk number if one was designated for its Sub Category. This happens regardless of how the module option Enable Asset Risk Manager is set.

If an asset is saved, its account has changed and the module option Update PM Accounts from Asset Account is enabled, then all PM templates associated with the asset will have their accounts changed to the asset's new account.

If the module option Enable TMS Locator is enabled, then the Location label in the Asset Edit screen becomes a link.  When clicked, the asset's location history is displayed.

If the module option Show Downtime is not checked, then the Downtime tab is hidden and all other downtime-related options ignored.

An Asset Number must be unique within its segment.

Required fields for assets are Segment, Asset Number, Asset Description, Account Code, Asset Type Code, Category, Sub Category, and Status.

You can select a Manufacturer from Vendors. You might also use Manufacturer as a free text field if the module option Enable Manufacturer Validation is not enabled.

Only vendors set to the type Manufacturer are shown in the Manufacturer lookup.

Only vendors set to the type Warranty/Service are shown in the Warranty Company.

You can use Risk Number as a free text field if the module option Enable Asset Risk Manager is not enabled. Otherwise, you are required to use the Asset Risk Manager to enter a number.

Cost To Date is calculated from Time and Material charges to the asset.

Asset User Defined Fields come from asset Category and Sub Category.

An asset can have more than one resource contact.

An asset can have multiple components.

Both Warranty Start and End Dates do not have to be populated. One or both can be populated.

The Warranty Start Date can't occur after the Warranty End Date.

Asset downtime shows all downtime for an asset whether it was entered in Work Orders or Assets.

There is no limit to the amount of PM templates for one asset. An asset, however, can only have one Checklist PM Schedule.

Asset Work Order History is divided into work orders and group work orders.

If an Asset Status is changed to RETIR or INACT, then all PM templates associated with it are changed to Unscheduled.

You cannot add an asset with a Status of RETIR, INACT, or UNLOC to a work order.

When an asset is added, the application will check for Type T PM Schedules with a Category and Sub Category the same as the asset. If one exists, then a PM template is created for the asset.

Asset Contact Wizard

You can Add New Contacts or Replace Contacts.

If you select a contact to replace and the old contact is not on a selected asset, the new one will not be added.

You start with an Asset Query results screen and, from that list, select a sub list.

Add New puts the resource in the bottom of the sequence.

Asset Duplicate Wizard

The new asset is saved and displayed for you so that you can make changes.

The new asset copies all fields from the old asset except for the fields that are replaced by the wizards.

If Copy PM Schedules is checked, then all Type A PM Schedules from the old asset will be copied to the new asset.

If Copy PM Schedules isn't checked, then the wizard will add PM Schedules using the business rules for new asset creation. Type T PM Schedules are based on Category and Sub Category.
