Cost Basis

N/A

This is the cost of acquiring equipment, including all initial costs to make it serviceable. If both Original Cost (Purchase Info) and Cost Basis are empty, the depreciation calculations will not work properly.

If Cost Basis is empty and Original Cost is populated, TMS will populate the Cost Basis field with the value from the Original Cost in the user interface when the asset is reloaded on screen. Once the user performs another save of the asset record with the Cost Basis auto-populated in the user interface from the Original Cost, TMS will update the Cost Basis field in the database with the Original Cost value. This allows admins to set their own Cost Basis as this is sometimes higher than the purchase price, or to leave it empty and upon re-saving the asset use the Original Cost instead.

Salvage Value

N/A

This is how much the asset can be sold for on the open market.  The default value is zero.  This value can't be negative.

Life Expectancy

N/A

This is the time an asset can remain in service and provide benefit as expected.  This value usually ranges from five to 25.

  • Cars, computers, and office machines have a Life Expectancy of three years
  • Vans have a Life Expectancy of four years

  • Lab, scientific, and medical equipment have a Life Expectancy of six years
  • Trucks and boats have a Life Expectancy of seven years
  • Airplanes, aviation, athletic, library holdings, telecommunications, antennas/towers, gemstones, office furniture, musical instruments, kitchen equipment, and physical plant machinery have a Life Expectancy of  10 years
  • Land improvements and utilities have a Life Expectancy of 20 years
  • Buildings have a Life Expectancy of 50 years.

Start Date

N/A

This is the date you use to calculate the depreciation of the asset. The depreciation calculation will not work properly if this field remains empty.

First Month

N/A

This value is the month that you expect depreciation to start.  The default value is January.

Monthly Depreciation

(Asset Edit only)

N/A

This value is the results of this calculation: [(Cost Basis) – (Salvage Value) / (Life Expectancy * 12)].

Annual Depreciation

(Asset Edit only)

N/A

This value is the results of this calculation: (Monthly Depreciation) * (# of months that have passed in the current year).

Total Depreciation

(Asset Edit only)

N/A

This value is the results of this calculation: Annual Depreciation + (sum of all prior years depreciation).  If this value is greater than Cost Basis minus Salvage Value, then TMS displays that value rather than the value that is calculated.

Remaining Value

(Asset Edit only)

N/A

The value is the results of this calculation: (Cost Basis) – (Total Depreciation).  If this value is less than the Salvage Value, then display the Salvage Value.

Remaining Life

(Asset Edit only)

N/A

The value is the results of this calculation: (Life Expectancy) – (Current Date – Starting Date).  This value can't be negative.  If the calculation results in a negative number, then TMS displays zero.
